A friendly, simple and powerful tool to automatize our workflows

Use Cases and Deployment Scope

Flokzu was used by my commercial and administration team from Paraguay and me (based in Uruguay and travelling regularly to Paraguay). We trusted Flokzu Cloud BPM Suite to coordinate the whole commercial operation between the team and also for administration tasks such as invoicing planning. It was extremely useful to register leads/prospects detection, follow up, conversion, invoicing and product delivery. We documented and tracked everything in several processes in Flokzu and kept all lead/customers' info updated!

Pros

  • Flokzu is a "do it yourself tool," very easy to learn and use, with lots of material and video tutorials on their web site.
  • Easy to create complete complex processes with BPMN.
  • They added the sandbox functionality to test processes before actually launching them.

Cons

  • I didn't find any main problem even though I'm not an IT guy. As a suggestion it could be great to be able to manage data bases directly from the process, to be able to add or delete columns and/or rows.

Likelihood to Recommend

Easy to track status of tasks.
Great to use collaborate between remote teams.
Useful for follow up and managing deadlines, with alarms functionality.
Detailed and clear information in standard or customized reports.

Flokzu is a great BPM service that automated and managed our HR on-boarding process smoothly.

Flokzu is the best option for HR on-boarding. We developed a process to improve the onboarding of new employees. The process starts with a form with employee information. Then it moves through different stages and departments. Different actions are carried out in each one, such as registering the person in different systems and assigning access credentials. In addition, there are specific tasks to ensure that they receive proper training.

Automating this process allowed employees to have a much more enjoyable experience joining the organization. In addition, it made it possible to measure the process, detect bottlenecks and improve it. For the Human Resources team, it was a breakthrough.

Likelihood to Recommend

It is very friendly in terms of ease of use and creating a process, and we are satisfied with Flokzu processes and options. They provided great support for our system. Our company is very used to it for maintaining a smooth HR system.

We developed a process to receive customer quotation requests and tickets (using a Public Form). This process allows them to add information at the middle of the process if requested (using a feature named "External Participants"). It also provides useful KPI's for process measurement and improvement.

  • Process Sandbox lets you test and try processes before going to production.
  • BPMN 2.0 support.

Cons

  • Doesn't allow to use the product as white-label.
  • Doesn't include connectors to SAP (it could be connected via Web Services).

Flokzu Cloud BPM is well suited for automatice process in companies and business.

Flokzu allowed us to coordinate distributed teams, over several business processes, in a very short time.

Use Cases and Deployment Scope

My team from Argentina and I (based in Uruguay) use Flokzu cloud BPM Suite to streamline and coordinate the whole commercial operation. From the initial lead detection to the product delivery and installation in the customer facilities, we document and track everything in Flokzu. We also use it a as collaboration tool between the team.

Pros

  • Easy of use, for a geographically distributed team.
  • Agility. We can model, deploy and adjust (modify) business process by ourselves, in minutes.
  • Flexibility, to add new processes (what we do all the time).
  • Great support from the Flokzu team, every-time we needed it.

Cons

  • It doesn't provide a connector to our accountability software; we had to do it via Web Services.

Likelihood to Recommend

  • Distributed teams (like our case), from all over Argentina, Paraguay, Perú, and Uruguay.
  • Collaborative needs, like sharing documents, getting approvals.
  • Manager needs: supporting alerts (deadlines and reminders) and custom reports for performance tracking.
  • Tracking needs: when you need to know where a request, or a proposal, or a claim or a commercial lead is.

Flokzu gave us autonomy to model and automate our own processes.

It is used in our department to follow up several customer-related processes, like:

  • Complaints registering and follow up
  • New commercial partner onboarding
  • Contract revisions and approval

We are introducing about 2-3 new processes per year into the platform.

Pros

  • BPMN 2.0 support. Easy to understand, powerful to build complex processes.
  • User interface: very friendly, agile and complete for a BPM.
  • Custom reports, including tables and graphics.
  • Process versions to manage them, rollback, etc.
  • Process sandbox, to test your processes before going to production.

Cons

  • We don't have major issues with Flokzu.

Likelihood to Recommend

I think it is really well suited when you have workflows involving people and documents. It also supports integration via REST and SOAP Web Services, and Zapier, so you can streamline a whole process. We are now thinking of automating some HR processes too.
