Use Cases and Deployment Scope

I help people to lose weight and reduce reliance on medications, and run my business remotely. I use Podio to document and organize client/patient information and session notes obtained via video and telephone meetings. It's convenient and efficient to store my client/patient HIPAA-sensitive files in ShareFile and be able to attach them to the client/patient's chart in Podio. It's seamless.

  • When restarting my computer/latptop, I almost always have to open the app. Requires a login. Time consuming

Use Cases and Deployment Scope

Managing documents with external clients and partners has to be efficient and secure. We use ShareFile for secure storage, sharing, document searching, and for digital signing. We use ShareFile because it helps us be efficient and secure and the product keeps developing in ways that increase its value to us over time.

Pros

  • Digitally signing agreements. Easy process to manage for both storing and signing of contracts and agreements
  • Secure file sharing with partners and customers. Rights are granular an it allows us the ability to practice the principle of least privilege efficiently.
  • Search and summarization of stored documents. Search has always been excellent to help me locate documents in various locations. The ability to summarize a document or documents within the tool using AI in a secure manner saves time every day.

Cons

  • We look forward to seeing ongoing development of AI tools within ShareFile to help organize and understand documents.
  • ShareFile should add more dashboarding or cockpit functionality for managers showing on one pane: 1) statistics 2) user activity 3) anomalous or questionable activity 4) document signing status...and then being able to click into more details.

  • Efficiency. Faster coordination with our clients saves time and allows us to move through projects more quickly. Allowing us to bill more quickly and manage our margins.
  • Control. Since control is essential we can either do it the hard and manual way which creates all kinds of inefficiency issues. Or, we can use ShareFile with excellent control (tracking, permissioning, principle of least privilege, users groups) delivered in a way that is efficient.
  • Compliance. We need to protect our customer's information and prove we are compliant. ShareFile helps us do both. An essential element.

ShareFile: A justifiable excuse to drop dropbox.

Use Cases and Deployment Scope

Each month, we publish a magazine in 22 versions. We use ShareFile to store and share art files. The most used portions are the workflows and approvals. Previously we relied on PDF comments and emails. With the annotation system through ShareFile we have sped up our approval process and secured a method for reliable corrections.

Pros

  • Messages clients with pertinent information.
  • Provides unlimited storage.
  • Allows for individual user permissions and access.

Cons

  • Moving files is frustrating. I'd like to option to remember the last folder accessed.
  • The dashboard could use some more customization options. My only options are: Recent files, Shortcuts, Tutorials, and Favorites. Why can't I have two favorite lists? or perhaps a separate list of recently uploaded files.
  • When I view the activity log, it would be great if I could click on the item name and be taken to the location. I'd also like to modify the size of the columns.

Use Cases and Deployment Scope

I currently use ShareFile to send and receive sensitive documents to and from clients. ShareFile allows me to create individual folders per client and act as an SFTP site which allows me to leave open the upload link for extended periods of time. Other solutions I have used in the past are a unique one time link which expires after an upload.

Pros

  • User and client permissions
  • Integration into Office 365 to view documents prior to downloading
  • Alerting when specific users upload/download documents

Cons

  • I wish things would be uploaded when dragged/dropped into the web interface and not require a confirmation.
  • If the filebox feature would allow you to share with co-workers.
  • Outlook add-in link to upload to specific folders (quick list) not just filebox

Use Cases and Deployment Scope

We partnered with ShareFile several years back as a solution to store client forms securely and to offer our clients a portal. This has been a solid partnership that has helped our business remove the liability of having paper files on site. And we leverage the ShareFile Outlook add-in to send clients a link to their paperwork to keep it off email. And having our client portal branded to our business is important, especially for security for our clients to let them know they are logging into our site.

Cons

  • Allow the company administrator the right to restrict the creation of a ShareFile account on our domain. We have had a security issue where an individual impersonated an employee and we would like to have the right to disallow the creation of accounts related to our business unless we create it internally.
