Use Cases and Deployment Scope

We have participant Waivers and Agreements for our events that have to be signed. We will receive 100,000+ so also need to make portions of those forms easily accessible to staff to confirm every attendee has a signed form upon arrival. We use Google Integration to have portions of the form export to a google sheet which updates in real time (other platforms require you to perform a manual download). Using various formulas in google sheets, we're able to distribute the data to the correct staff member(s) so they aren't having to sort through every single row of data. It's a pretty savvy platform. A few things on my wishlist like being able to have conditional forms or by auto filling specific data by using an order number added to the web address.

Pros

  • ease of Customization for a non IT person

Cons

  • Sometimes bots fail (automation breaks) and unsure of the cause, wish there was a way to re-run the bot manually.
  • Export fields for an individual slate. Currently you have to select a date range and it will export all that are completed within that time frame.
  • Bulk Download all slates for a flow.
  • We have a lot of families (multiple kids) would love to see an easy way for fields to "save" and fill out a 2nd or 3rd form.

Likelihood to Recommend

While there's some things I'd love to see and maybe they will one day, I think this platform is an EXCELLENT choice for someone looking to automate forms. I love not having to manually update a spreadsheet daily, this is more of a set up and forget process although there are times that the automation fails and has to be done manually.

We use airSlate (and PDF Filler) in order to automate some of our paperwork processing for various departments within and outside of the Human Resources team.

Because of our success with and use of airSlate for personnel processing, we have assisted our finance department in implementing the use airSlate to automate their capital request and check request processes, as well as our counterparts in the County utilizing airSlate for their personnel processing.

Pros

  • The bots are fantastic, so many to use to really increase functionality
  • User friendly for those who are first time users, and the system just gets easier and easier to use with experience
  • The email notifications for bot failures are very much appreciated, we know right away if something is not functioning
  • The customer technical support to assist with flow issues, they are quick to respond and assist until the problem is solved or the flow is functioning as envisioned
  • Regular updates to the platform for improve functionality

Cons

  • If this system could provide an easier mass export of flow data, or completed forms
  • Mass exports of flow data requested to be provided to email do not always come through, especially if there is a lot of data, the export just fails with no notification of the failure
  • When scrolling through slates, when the system is loading more, it is easy to lose your place because when the new slates load, the list shifts

I have already recommended this product to other departments within our organization and other people I know working in other administration roles where automation is sought after.

airSlate is great for one off forms, we have used it to automate our gym waiver to be signed off by HR, then sent to our badging team to provide access to the gym facilities to our employees. We do not need to use paper for this process anymore at all.

airSlate is great for requiring attached documents in order to process certain paperwork, meaning that paperwork cannot be submitted without the requested documents being provided. If we process a name change form, we need certain proof, so building the automation through airSlate means we should have a completed set of documents in order to process on our end.

Processing payments is great, we have a flow for our team Water Club and payment can be processed via credit card through the slate rather than trying to track people down for cash.

I wish there was a bot to include individualized documents with a slate before it was sent, the versioning helps, but is not ideal. For example, it is very easy to include a personalized offer letter and job description, dropping fields for signature and date when we send envelopes through DocuSign. It is not as easy to individualize a template within airSlate, so I wish there was a bot that would allow the same functionality of putting person specific documents into a template and adding signable fields prior to sending.

Use Cases and Deployment Scope

Since Covid has forced a lot of things to move online, airSlate has come in handy with making a lot of work flow virtually. The ability to have more than one signer and multiple steps has been very useful to the organization. airSlate is used for things that require only one person, to forms that are used by hundreds or even thousands of employees at a time.

Pros

  • Tech support.
  • Ease of use.
  • Configurability.

Cons

  • On occasion, bots need to be reset/removed in order to work.
  • I wish there was a way to add a quick document before sending something out similar to DocuSign envelopes. Versioning is very helpful but I do wish there was a way to prepare a form for sending, add in a quickly customized document and a field or two, and send it to just that person.
  • Being able to assign fields while in the field editor would be helpful!

Likelihood to Recommend

Well suited for forms that need to be signed by one or more people (ie multiple levels of managers). Great to keep all completed slates in one section so that you can find what was completed and where. It does get a bit tricky with routing when it's a bit of back and forth.

We installed airSlate a few months ago for the main use case of automatically sending documents to our volunteers, receiving them back, and having (some of) the data flow automatically into Salesforce. But we've already found a couple of other use cases: sending invoices to "customers" and using the permanent link feature to allow some of our stakeholders to send us certain information whenever they need to update it.

Pros

  • Support: Prompt response and excellent follow-through.
  • (Mostly) intuitive setup: Once you get the hang of it, building flows is pretty straightforward.
  • Flexible: Ideas for new use cases keep coming up.

Cons

  • Field mapping to Salesforce is precise but a bit fidgety. Would be nice to be able to do it on the form builder instead of in a separate bot.
  • Fillable fields in PDFs are ugly. It would be nice if font size/spacing/alignment actually matched the document.

Likelihood to Recommend

We have a group of users that send out a series of forms to potential volunteers. We were able to configure flow templates in airSlate that would send/not send a select group of documents based on data received from Salesforce. Once the documents are complete, some of the data flows back into Salesforce while the documents themselves are stored in Google Drive. From the users' standpoint, this has been seamless and wonderful.

Capture signatures on Treatment reviews/consents/release of information forms for virtual visit clients.

Pros

  • Ability to add fields - signature, date, etc.
  • Ability to send to either email or via text.
  • easy-to-follow instructions for obtaining a signature.
  • Ability to send reminders.
  • Nice to get notified if the document has been opened or completed.

Cons

  • Once the document is returned, have the signature bigger to view.
  • A way to contact clients to have them aware this is coming to their email/text.
  • More characters for the body of the email/text; currently limited to so many characters.

Likelihood to Recommend

Obtaining signatures very quickly Getting required documents signed for clients that are seen virtually. If clients are sick, they can sign documents and still be seen virtually instead of them coming into the office.

We have used airSlate to automate much of our documentation that require multiple people to sign off on. We also utilize it to store information from documents in secure excel files. The scope right now is limited to current employees and some vendors we utilize. In the future we are hoping to add customer integration.

Pros

  • Storing fields in excel documents
  • User-friendly flow designs
  • Lots of useful bots for automating further

Cons

  • The emails that generate from flows are sometimes very slow to process
  • If a flow fails at a certain step, sometimes we do not get alerted by airSlate
  • Adding a bot that can only pull and allow certain values from a dictionary to populate a certain field in a flow

Likelihood to Recommend

It is very well-suited for intra-office communication and automation of processes such as sign-off and document storage. It is not very well suited, at the moment, for customer interfacing. In order for this to be accomplished for us we would need some more specific integrations such as being alerted right away if something fails so we can reach out to our customers, as well as being more specific in how we can limit field answers (ie only values from a certain dictionary).

It's used for Contract signing and we are looking to use for other purposes also. We are pulling data from database, filling up our contracts and once completed storing all signed copy in our sharepoint. Plus, it also integrated with our CRM. All these have simplified our process and we are looking to use Airslate for other business process.

It's well suited for sending pdf and creating automation with database, CRM. Sending pdf document to customer and tracking their signed copy is tedious. It's a lot of step. With airslate, we have been able to improve this process.

airSlate was an amazing piece of technology for our firm. We were looking for an automated way to create PDF reports and pull information out of Salesforce. airSlate answered all of those needs for us. We were able to find other uses for airSlate when we were looking for a new way to create web forms. We can now easily create webforms and have the information upload directly into Salesforce.

airSlate has been a great end-to-end tool for us. We use it to collect customer intake data. They can include personal information and upload documents to us. We then use it monthly to deliver financial reports back to clients. It syncs with our CRM (Salesforce) and automatically loads client information into the webform/reports and delivers them as necessary.
