What is airSlate WorkFlow?

airSlate is a codeless workflow building platform, focusing on document generation, contract lifecycle management with e-sign, and what the vendor describes as mobile-friendly web forms which can be integrated with systems of record (e.g. CRM, etc), using no code airSlate bots.

A solution like no other!

Use Cases and Deployment Scope

We are using airSlate as a workflow management and new-business-onboarding solution.

Pros

  • Scripting and content disclosures for customer service during implementation
  • Unlimited customization to suit any organization's needs
  • Integration with electronic signature capabilities suitable for any new client enrollment process

Cons

  • The mobile signing process needs improvement for more involved agreements with multiple signature locations
  • Dumbing down the html rules for those who would like to include rich text
  • Looking forward to improved page load times both while editing and creating and during actual use by team members and prospects

Return on Investment

  • Preparation and pre-implementation testing was time consuming and sometimes frustrating--but full disclosure, we were involved during BETA.
  • Implementation however is virtually painless
  • Post-implementation peace of mind for management and the team is priceless.

Use Cases and Deployment Scope

We have participant Waivers and Agreements for our events that have to be signed. We will receive 100,000+ so also need to make portions of those forms easily accessible to staff to confirm every attendee has a signed form upon arrival. We use Google Integration to have portions of the form export to a google sheet which updates in real time (other platforms require you to perform a manual download). Using various formulas in google sheets, we're able to distribute the data to the correct staff member(s) so they aren't having to sort through every single row of data. It's a pretty savvy platform. A few things on my wishlist like being able to have conditional forms or by auto filling specific data by using an order number added to the web address.

Pros

  • Savvy engineers constantly solving and improving
  • ease of Customization for a non IT person

Cons

  • Sometimes bots fail (automation breaks) and unsure of the cause, wish there was a way to re-run the bot manually.
  • Export fields for an individual slate. Currently you have to select a date range and it will export all that are completed within that time frame.
  • Bulk Download all slates for a flow.
  • We have a lot of families (multiple kids) would love to see an easy way for fields to "save" and fill out a 2nd or 3rd form.

Return on Investment

  • This is a more expensive option for our company but has eased some of the workload of our staff and has decreased the number of errors.

Use Cases and Deployment Scope

We installed airSlate a few months ago for the main use case of automatically sending documents to our volunteers, receiving them back, and having (some of) the data flow automatically into Salesforce. But we've already found a couple of other use cases: sending invoices to "customers" and using the permanent link feature to allow some of our stakeholders to send us certain information whenever they need to update it.

Pros

  • Support: Prompt response and excellent follow-through.
  • (Mostly) intuitive setup: Once you get the hang of it, building flows is pretty straightforward.
  • Flexible: Ideas for new use cases keep coming up.

Cons

  • Field mapping to Salesforce is precise but a bit fidgety. Would be nice to be able to do it on the form builder instead of in a separate bot.
  • Fillable fields in PDFs are ugly. It would be nice if font size/spacing/alignment actually matched the document.

Return on Investment

  • Time saved: Sending forms and keying in data.
  • Money saved: Eliminated Formstack (we only used it for one small process, which airSlate does just fine).

Not a solution for everything

We use airSlate for contracts, to sign tax returns, and to collect and distribute payroll information from our clients and to our clients. Originally, the hope was to streamline the signature, document distribution and warehousing of contracts, tax returns, and payroll data. The challenge we encountered with airSlate had more to do with the learning curve than with anything else. We wanted to automate the payroll forms in particular and we just could not get it to reliably work for us in that way. Now we have a more stripped down approach to those documents that works for the most part and at least puts the data we need within reach of our team. It seems like every software company is now using descriptors like "workspace" for what they do, airSlate is no different. This is not well defined in the helps files neither is it clear when you're there in the app. You can create a workspace for every client but each a separately billed platform and there is no sorting to easily distribute between different types of documents. The distribution of users is also weak and uncustomizable. The only way to make it work for everyone is to make everyone an admin which defeats the purpose.

  • Contracts and signatures all in one place
  • Bot automation with a learning curve

Cons

  • Bot automation is not as easy to understand as represented
  • Each workspace is a separately billed space but there are no sub-workspaces
  • Actual customization of roles - Admin role is the best default for everyone in your team if you want to do less than "do everything for everyone".

Return on Investment

  • We now have a single place all employees can go to send and receive signatures and contracts for the business as a whole.

airSlate was an amazing piece of technology for our firm. We were looking for an automated way to create PDF reports and pull information out of Salesforce. airSlate answered all of those needs for us. We were able to find other uses for airSlate when we were looking for a new way to create web forms. We can now easily create webforms and have the information upload directly into Salesforce.

  • Sync up with Salesforce to pull information out and put information back in
  • Create PDF reports
  • Create beautiful webforms that syncs with our data

Cons

  • More bots with integrations
  • Deeper Salesforce integrations
  • More webform tools and options

Return on Investment

  • We are savings hundreds of hours every month with the automatic process airSlate
  • We've been able to consolidate our other software packages into airSlate
