Use Cases and Deployment Scope

As a company, we do use Blackline's various modules. From reconciliations to transaction matching, etc. My focus is on Smart Close, and at the moment, I am training on Studio360. We have already automated over 30 processes with Smart Close and look forward to doing even more with Studio 360. I'm very keen to see what the actual percentage of automations is gonna be.

We use Blackline for Account Reconciliation, Matching, FRA/Variance, Reporting, and Task Management. Blackline provides a standardized solution for Reconciliation Globally, with a full audit trail of all imports to the modules. Reporting across all modules. The Product allows Chubb to monitor alignment with the Global Policy. The FRA module has replaced manual Excel modules, allowing a consolidated view of the Balance Sheet by applying rules to identify exposure.

  • The Reporting Module does not provide any FRA reports. Variance reporting is Limited.
  • FRA, To trace from GL balances imported to the Variance module can be difficult, as you need to map the GL balances to the level in the Var Module. This is a manual offline process. Would be good to have reporting that provides the link.
  • Matching Module - Intransit, when scheduling, you cannot pull all the unmatched transactions; only the current period.
  • Match Sets: if you have a chance to a live match set (e.g., filter at DS), you can't update the Match Set; you have to rebuild. It would be good to be able to amend and not rebuild.

I take data from BlackLine based on econciliations completed by our offshore team in India. I take them onto excel to track if they are late or not and get a reason from the team so I can send out a weekly report. This helps ensure that the team stays on top of their tasks and certify in BL

Suitable for taking data onto excel based on past reconciliation tasks submitted by team members. Also for navigating around the app as it is pretty straight forward and makes sense.

BL IC will be implemented to set new standards how intercompany taska are performed and the goal will be daily continuous accounting. Exceptions will be disputed through standard software that will enable auto-posting of AP in ERP. IC contracts will be created and managed theough Create with auto-billing functionality of invoice. Settlements will be theough Net and settle and cash to be cleared automatically. We will move away of manual non-standard tasks to daily ic tasks with clear goal and priority that is supported by the BL module.

We use BlackLine for account reconciliations and transaction matching to improve quality, reduce time spent on non value adding manual work, get an overview of the process, move reconciliation work to before the monthly closing, gather supporting documentation and to be able to delegate reconciliations between team members as Preparers.

For reconciliation of BS codes. The product helps to ensure a consistent approach to reconciliations as well as providing an IT control
for segregation of duties for maker/checker. Dashboard helps to show status of recs at any given time to show progress. We also use financial reviewer profiles to ensure recs are done accurately and we can feedback to our team on issues with recs produced. We also use some transaction matching at a basic level.

  • Provides oversight of progress on recs with dashboard
  • Great way for all recs to be in a central location to assist during audit time.

Cons

  • A consolidated position of all gl codes across entities with consolidation business units to ensure correct Group position
  • On reconciliations there is space for comment but would be good to have a”notes” section that can then help explain the purpose of the GL code/ rec.

Likelihood to Recommend

BlackLine is a great way of having recs all in one place and utilising system controls to ensure segregation of duties. Reporting functionality could be easier to use to monitor progress with reconciliations I.e reviewing aged items. Great way of ensuring all reconciliations are complete with summary dashboard.

Reconciliations and tasks. This helps address our controls and process driven sox environment, by allowing clear review and approval evidence and tracking of deadlines. This aids in accountability for employees in their roles and responsibilities. It also helps make our reconciliation process more efficient and review more effective and meaningful.

Account reconciliation and inter company matching module. Time consuming processes that take place within BlackLine. Journals module is used however connectivity between our ERP and BlackLine take numerous hours for journals to flow through. Finance teams are impacted by this delay.
