What is Caya?

Caya offers document management (DMS) and post-digitisation. Users receive their mail digitally in Caya's digital inbox and in the Document Cockpit and can edit and manage all documents, automate workflows and organize collaboration with others.

  • Digitisation of mail - By automatically forwarding mail or specifying a postbox address for anyone from whom the user wants to receive mail digitally, Caya can set up mail forwarding and provide the digitization of mail in a standardized and automated process. Users receive mail in the Caya Document Cockpit, with notifications sent by email or push notification.
  • Automagic Workflows - Caya can automatically recognize invoices, forward them to a favourite accounting tool, and pull out email attachments from Outlook or Gmail directly to Caya without intervention.
  • Rights & Roles - With "Caya Teams", employees can be invited to Caya and assigned to a corresponding role. External third parties can also gain access to selected documents and folders via the sharing function. In addition, Google Single Sign-On can be activated in the company, which enables logging in via an existing Google account.
  • Archive digitisation - Caya scans the user's archive and makes the documents available digitally and audit-proof. Tax-relevant documents are scanned in compliance with the GoBD. There is no need to keep the physical originals.
  • Data extraction - Caya extracts any data points from documents (invoice details, etc.) and thus creates the basis for automating processes. The data to be extracted are defined together (e.g. the invoice number, the delivery note number, and certain contract properties). This data is then extracted by Caya as part of the digitization process and documents and extracted data are subsequently made available digitally, for example via the SFTP server.
  • Audit-proof storage - The Caya Document Cockpit is audit-proof according to the requirements of the AO, HGB and GoBD.
