Caya

Caya is an Intelligent Document Processing platform that captures incoming mail, email attachments, and uploaded files; classifies them; extracts relevant fields; and transfers documents and structured data into connected business systems. It is designed for organizations that want to replace manual document intake, data entry, filing, and forwarding with repeatable workflows.

The Caya Document Automation Suite combines three modules: Post Scan, Document Extractions, and Document Automations. Together, they support document processing from receipt through classification, structured data extraction, routing, and transfer to downstream systems.

Post Scan digitizes physical mail daily and delivers it to a digital inbox. It includes text recognition, full-text search, notifications, and GoBD-compliant filing.

Document Extractions uses AI models and Deep OCR to identify document types and extract fields such as amounts, dates, supplier details, IBANs, tax identification numbers, and transaction references. The resulting data can be supplied as JSON or CSV, or transferred to ERP, accounting, CRM, or specialist systems.

Document Automations provides Workflow capabilities for defining rules that name, tag, file, distribute, and transfer documents. Organizations can route a document to a person, department, folder, or connected system based on document type, sender, keywords, or other defined conditions. Caya supports integrations with more than 100 tools, including DATEV, SAP, OneDrive, Google Drive, and ERP systems.

Caya states that its platform can reduce manual data entry and transfer errors, while allowing users to correct or validate extracted data during the workflow. Caya is ISO 27001 certified and states that its platform supports GoBD, GDPR, and DORA requirements. The vendor also states that customer data is stored in an ISO-certified data center in Frankfurt, Germany.
