We use ClickUp to track our district opportunities and projects, and it has truly become the core of my daily job operations. As a project management tool, it allows us to track exactly where we are with gathering quotes for various districts. Specifically, we use it to track whether we are gathering information on project specifications, waiting on quotes from our external partners, awaiting responses from the districts, or managing internal resources like approvals and internal quote generation. The major business problem ClickUp solves for us is a lack of visibility; it completely eliminates the guesswork of knowing who has the next move. After the quoting process is complete, we continue to use ClickUp to seamlessly track the status of every project from its initial kickoff to final completion.

basically ClickUp has been a corner to put all information and organisation together. The ClickUp AI is good but I wonder if I can bring my own AI vendor and token to use it.We want to address more automatisation and learn more on what ClickUp functionality can offer without spend too much time

We use ClickUp as our dedicated PMIS tool and overall command center. Our entire project infrastructure is build out in a cohesive end-to-end system within ClickUp. We use it to set up, organize, and track projects from the earliest client onboarding stages to launch and final implementations. One of the biggest problems that we had was finding a PMIS tool that had enough customizability to build out robust processes that could stay organized and scale. ClickUp solved this by having a level of customizability, features, and integrations unmatched by any other PMIS.

Pros

  • Highly customizable tasks
  • Custom fields that turn your spreadsheet into a database
  • Clean, organized data that creates epic, dynamic dashboards

Cons

  • Gantt view not having an Undo button makes for very scary times.
  • Moving tasks around in Gantt view can be glitchy (and tasks can sometimes be hidden/condensed into weekends, despite having that feature turned off).
  • It would be great to have an AI Agent that could build dashboards.
  • I don't like that when you add a Channel, you can't UN-ADD it.

Likelihood to Recommend

ClickUp is best suited for project tracking, time tracking, and viewing workload by team member. It is also great for Meetings, Meeting Notes, and carrying forward action items. And of course, one of my favorite features is the ability to add a Google Sheet or Google Doc as a View, or embed it anywhere in ClickUp.

ClickUp is not so great when it comes to the reporting feature. If you want to take your data one step further than the dashboards, you have to export your data to a more robust data analytics tool, like Tableau. Also, while Time Tracking is wonderful, the Timesheet reporting is pretty rudimentary and not ideal at scale.

We use ClickUp for all of our sprint management and chat communication. All departments have their own dedicated space, with a sprint, and all tasks are managed in ClickUp in connection with our Google Workspace. Saves a lot of time to have everything in one place.

  • the automations sometimes gets confusing with calendar )google error)
  • sprint management will update tasks to following sprints and any tasks that have dates block calendars as busy instead of free for info, blocking our mtgs with outside people
  • dashboards are very limited, not the best feature confusing to setup and cumbersome

Our support teams also use ClickUp for internal team work and projects. ClickUp scales well for us to use with smaller teams and cross functionally with teams that collaborate on a regular basis.

  • AI Notetaker for meetings is a game changer.
  • Automations to keep workflows moving without manual handholding.
  • So many features to consolidate your tech stack--chat/channels, docs, even a whiteboard for brainstorming and mind mapping.
  • Feature rich forms that feed right into your existing task list.
  • Templates on templates on templates. Templatize anything and everything (checklists, tasks, views, docs, entire projects and more), so that repeatable work has form and function.

Cons

  • Learning curve can be steep for some, so onboarding support is highly recommended.
  • There is so much that is possible, it can be hard to know where/how to get started.
  • Increasing reliance on AI agents can be a hinderance, if cost is a factor.

Likelihood to Recommend

I've already recommended ClickUp to several people since migrating our organization. ClickUp is well suited for teams that would like to shrink their tech stack and use one tool for all/most of their work. For teams that have an established tech stack that's not easily integrated with ClickUp, it might be overkill.

ClickUp is used to manage a variety of projects to include keeping track of various training plans. It is also used to summarize activity in our work groups, along with creating different tasks for the team. We also used it to keep track of sign ups for various events that we've had.

  • It is scalable - I can make it as simple or complex based on needs/audience

  • I believe the initial learning curve is high - may be unavoidable due to all the functions it can do

ClickUp is great for project management, both for yourself and your team. It is great for keeping records for sign ups for events along with tracking whatever step that person is on during the process (could be for hiring or training tracks).

It helps us organize projects big and small. We use it for personal checklists, all the way up to full Implementation Checklists & Feature Request trackers. It is a way for all users in our org to have a consolidated place to work on items, and invite external users if we so desire.

  • Too easy to duplicate fields; they are not easy to find once you create them, and there is no flag if you are duplicating
  • Too much upsell of the AI; if you accidentally interact with an AI feature, they never stop emailing you.

Likelihood to Recommend

I appreciate how simple it is to control different areas through permissions. Keeping something fully private, sharing with internal people, or sharing with external people all feel flexible and easy to manage. We are easily able to invite multiple clients into the same space while tightly controlling what they see, and how they can interact on a user-level.

I use ClickUp to manage my sales pipeline including prospecting, deal progress, onboarding, and daily task planning. I use the custom fields and AI logic to help me keep a pulse on the pipeline and my performance metrics. I also use it to keep whiteboards and docs of reference workflows and SOP's which has been massively helpful, as well as document bases to manage client deal rooms, resources, and insights. Being able to DM AI agents and Brain has been massively helpful as well.

Pros

  • Visualizing your work in a digestible way, far better than the default tools my company suggests we use.
  • Easy intake of projects/tasks and working on the fly in conjunction to desktop work.
  • Cleanly structuring knowledge bases and being able to use that info in your projects and tasks/deals.
  • Flexibility in being able to build the workspace around your personal workflow, without it being fragmented or confusing.
  • Keeping all context about deals/tasks/projects intact and easy to access with simple workflows.
  • Being able to run the same abilities of so many other business tools, all in one place, in a far more connected and simplistic way.

Cons

  • Maps functionality is basic, would be great for it to help with routing logic and daily planning.
  • Keeping track of task default locations when working on the fly can sometimes be hard to keep track of, but that's mainly an issue with me letting my AI's via MCP boat the workspace structure.
  • Permissions can be confusing and buggy, so you need to monitor and plan them really intentionally; sometimes they'll get mixed up, and your permissions to add fields, delete/access items, etc. can get buggy.

Likelihood to Recommend

It's simplified literally everything in my life across all domains. There really isn't any situation I've ever found where I haven't suggested someone to start using ClickUp instead of their current workflows, whether that's basic iPhone apps they're using, or expensive tools they are already paying for. The only scenarios where it hasn't made sense to do it is for people running businesses that rely on integrated platforms for all business management; not that it's not a good fit, but things like integrated billing and map routers or invoice generators embedded in an existing software sometimes lock it out. But for everything else, be it work, school, sports, daily life, I probably pull 1-2 people over to ClickUp every week!

We started using ClickUp purely for overall company task management. As time went on, we realized we could consolidate multiple software into ClickUp and save quite a bit of money. We now use ClickUp solely for all inter-company quick communications, task management, SOP creation and management and even timeclock/hour tracking! It has been an incredible resource for us and has created a more seamless employee onboarding experience as well. The only reason for one star deduction is because I wish the time tracking had more features and could sync with my payroll system.

Pros

  • Pricing. I love that I can add guests without getting hit with an additional fee. There are times that I need a contractor to see a project, but not necessarily collaborate on it and I appreciate being able to have that option without adding a full user.
  • I love the visibility options when a new project or template is triggered. I can see where my team is at with projects in kanban type boards, a full list or calendar view based on due dates. I love seeing the tasks flow through to quickly gauge where everyone is at.
  • ClickUp has done a phenomenal job being a plug and play software. As a start-up company, we didn't need anyone in our tech team to integrate or automate things as everything can be done very easily. The user experience is wonderful and easy to adapt and learn.
  • Smart automation experience. When triggering a template, it automatically adjusts the due dates based on how it was setup initially. I know this sounds like an obvious feature, but it detects that I had mapped out due dates based on x amount of days after the start date and not just a specific day of the month and I really loved that - especially when triggering my month-end close process!
  • All in one solution! ClickUp has done a great job at helping reduce cost by giving a great chat platform as well as timeclock capabilities to allow for only one app to pay for instead of multiple.

Cons

  • I think ClickUp could do a better job with time tracking. I know this feature is probably more to show how much time is being spent on each project, but I utilize it as my payroll time tracking and it's a bit clunky and hard to download in a format that I can use.

Likelihood to Recommend

I think ClickUp is a perfect fit for a smaller business or a business wanting a simple yet robust solution to project/task management. Because it's easy to build out, it can be up and running the same day the subscription starts and that allows for zero downtime and little employee cost to build out SOPs and projects. It also has been nice as a small business to cancel our Slack subscription and our Hubstaff subscription.

I use it for project management for my marketing team, keeping track of tasks. I like the priority tags to help make sure we are working on the right stuff. We also use the due dates. I also like that you can assign different tasks to multiple people if needed, I hadn't seen that before on other pm software.

I like the built-in priority tags. That is something that I do not think Asana had when I used Asana in the past. Basically everything else seems the same as Asana but with a little bit different UI. My main issue is that my CEO wanted to view all my work in Gantt view, but after using Gantt something like 50 times, it told me I can't anymore unless I upgrade.
