We use ContractZen to manage the contracts with our clients. This ranges from the history of the accounts, contract expiration and renewals as well as the value of each contract. Prior to using ContractZen, this was all done in an Excel spreadsheet.

This is a big step up from our use of an Excel spreadsheet to manage hundreds of clients. There is more functionality in the product than we are currently using. It would be useful to learn from others how they are using the tool as we might discover some improved efficiency that we haven't considered.
Like most organizations, we had several old, long-term contract, NDAs, proposals etc. stored on shared, protected network. This was unstructured data. Each time we wanted to know when a contract was ending, we had to open the contract. This led to us creating a spreadsheet. We thought there had to be a better way for us to get alerts when contracts are expiring and to store amendments to contracts in one spot. We reviewed several software and chose ContractZen. We migrated all of our contracts into ContractZen within a couple hours and are getting alerts as we desired. It's a cloud-based product, so no installation is needed. ContractZen is being used by Finance, IT and Legal staff right now and we are very pleased with it. ContractZen does full text search on PDFs and metadata we type in ContractZen, which makes searching for certain words a breeze.

ContractZen is perfect for small and medium business where the use case is to manage contracts, get alerts, and track details about contract. ContractZen has other features such as meeting management, eSignatures etc. We focus primarily on contract management and are pleased with it. ContractZen has a lot of competition and many competitors have a full contract lifecycle, which is desirable in large companies.
ContractZen does not have a full contract lifecycle process. Full contract lifecycle will have request for comments/proposals, NDA, quotes, implementation proposals etc. go through multiple people, multiple layers of approval etc. and different triggers in the contract would generate different tasks for staff to manage the contract till the contract expires. Large and complex companies have needs that ContractZen may not be suitable for.
I found ContractZen extremely useful and handy in managing all documentation in relation to my property investment activities. Bids and agreements are always one click away and easy to distribute between parties. ContractZen has both a mobile and desktop version, this is very important from a user experience point of view.

ContractZen is being used by our corporate, administrative and sales functions. The main use cases of the system are the secure storage of contracts, the retrieval of contract data for invoicing, the alerts of pending critical dates of contracts and electronic signing of contracts both with clients and with subcontractors.
Pros
The easy storage of contracts is important. Easier than a shared hard drive folder or a jointly administered Excel sheet, both of which we tried to use in the past.
The alerts of key contract dates is crucial. Knowing what needs to be terminated or at least considered has saved us money.
Simple signing of contracts electronically has saved us money in getting from an agreed to contract to a signed one in minutes.
Cons
The iPhone application is underpowered, I suggest using the web version also on mobile devices.

ContractZen is perfect for a team or SMB use case. We use it to store all contracts: HR, services bought, subcontractors and sales. The benefits are somewhat different for different types of contracts, but having all in the same place is a benefit in and of itself.
