What is Vasion?

Vasion (formerly MaxxVault) is a document management solution now from PrinterLogic (acquired November 2019) designed to enable organizations to digitize content and automate workflows to drive compliance, scalability, and accountability.

Vasion has been a great enterprise level printing solution.

Use Cases and Deployment Scope

Vasion is our enterprise-level network printing solution. It is the main way our staff installs and uses the printers they are allowed to use. We also push printers to staff and labs as needed and use reporting functions to manage costs and track paper usage. We were using Windows print servers that were no longer meeting our needs and were very cumbersome to set up and maintain printers. This option also integrates with our Azure devices without any issues and works seamlessly regardless of the device and how it is joined to our enterprise.

Pros

  • Vasion makes installing printers by staff easy and quick. They can pick the printer they want and have it installed in a minute or less.
  • Vasion makes managing and setting up printers on the admin side very easy. Adding drivers is logical and very easy.
  • Vasion gives us real-time reporting on printers, buildings, or staff and allows us to customize reports to our needs.
  • Vasion support has always been great to work with and the follow through is great.

Cons

  • The client can be a little delicate to install and get auto connecting.
  • There has been a time when we had to manually install a new client on the devices to fix a bad client that was pushed out.
  • Some of the features to push out printing may be more cumbersome to set up. Nothing that is terrible or really long to do, but it can take some time to set up correctly.

Return on Investment

  • The time it has freed for building techs to create printers. It went from a 10-minute or more job to a minute or less per printer.
  • We have heard nothing but good reports from staff! They are happy to be able to install a printer from one page in a way that makes sense. They literally just find the printer they want and click on it to install it.
  • The reports features are like nothing we could get from our old print servers.
  • It's all online and easy to get to and use.

Use Cases and Deployment Scope

We use Vasion's PrinterLogic to manage our fleet of over 100 printers. We have implemented badge scanning, network printing, integration with Entra ID, and more. PrinterLogic has significantly simplified our Print Management tools by reducing the number of applications we use to manage our printers, enabling extremely simple queue deployment and installation, and even easier administration.

  • Product Support.
  • Knowledge Base.
  • Creating and deploying new printer queues.

Cons

  • Learning curve is particularly steep.
  • Some advanced features can be difficult to implement and test.
  • Driver management is time consuming and could be streamlined.

  • Print Management software consolidation reduced costs significantly.
  • Reduced admin overhead.
  • Cost management and metrics to support business decisions.

Use Cases and Deployment Scope

We use Vasion Print to deploy office printers to users as well as allow secure print, which allows users to release their jobs on demand and prevents confidential documents to just sit in printer tray. We have about 30 branches and 75 printers to manage. Vasion print makes it much easier with other great features not found in traditional domain Print management solution.

Pros

  • Deploy printers automatically according to defined rules
  • Confidential documents are held until user ready to pick them up
  • Easy integration with Microsoft Entra ID

Cons

  • The integrated application to actual printer could be more reliable like in our case for Ricoh printers.
  • Off-network printing configuration could have better documentation as it is confusing with other feature
  • The Entra ID authentication is occasionally unreliable

Return on Investment

  • I do not really need to touch the printers.
  • I have not come across an issue with printer deployment, which I can not say about deploying printers via Group policy.
  • Confidential documents are secured till user is ready to pick them up from the printer tray.

Vasion Review - The Good and the Bad

We use it to manage the printers in our office. We can access them through the Cloud, using Vasion Print interface. We are overall satisfied with the service provided, we normally dont encounter issues with it, even considering we support more than 200 users a day.

We have found Vasion Print UI is not very updated, and can look a bit old. If I could give any sort of constructive feedback, I would mention make the UI more modern and intuitive. After supporting it for years, now its not an issue anymore, but I found in the begginging, learning to use it was harder than expected.

MaxxVault should be your first call for an electronic document management solution

Pros

  • MaxxVault is a full-featured product at a cost significantly less than its competition.
  • MaxxVault is end-user maintainable. I do not have to carry an IT staff to support this critical system.
  • MaxxVault has the best customer service support of any vendor I've done business with in my 20 year career.

Cons

  • MaxxVault does every single thing we need it to do. I cannot think of anything it should improve.

Return on Investment

  • We scaled down our file room size and cut our leasing costs.
  • We transformed several processes from iterative physical hand-offs to being completely done within MaxxVault workflow. The turnaround for a few of these processes went from days to minutes.
