Use Cases and Deployment Scope

We use Progress ShareFile to store Closing Books after completion of an M&A transaction internally and with shared accounts with our clients. We also use ShareFile to upload and then to distribute Closing Books after completion of an M&A transaction when ZipFile distribution is too large to send in an email to specific recipients.

Use Cases and Deployment Scope

Our organization uses Progress ShareFile primarily for its file transfer functionality. With the ability to use Progress ShareFile via desktop, online, and Outlook plug-in, our users can choose the method of accessing the software and cloud stored documents based on their location and device and are not limited to bulk transfers from servers. Because our customers produce documents for our signature, they choose this type of software for our use in doing so. As a result, we are light users of these functions. When we do use them ,we find the software intuitive and easy to work with.

  • The options for file transfer success confirmations allow for varying levels of security.

  • There could be opportunities to provide comments and instructions regarding a transfer and its contents.

Progress ShareFile's Outlook plug-in provides the easiest transfer for light file loads while the desktop verson allows more robust manipulation of files, folders and drives so file organization is easier for the sent party.

Progress ShareFile allows for transfer of data between our company and our clients in a secure manner. The system provides a portal and secure email transfer of documents. Our business does not accept documents via unencrypted email or attachments to emails and this facilitates that process.

  • Allowing notes posted in the web version to be seen in the desktop app
  • Permissions to be changed by admin that are not owners of the folder
  • Allow file conversion to PDF when uploaded

We use ShareFile to share files with clients. We needed a simple solution to share files with our clients, and ShareFile did exactly that. It’s user friendly, simple to navigate and serves the purpose.

Using anonymous download links via Progress ShareFile

Progress ShareFile is mainly used to create anonymous download-links to files we put onto our Progress ShareFile account. But you can also create anonymous download-links with e-mail notification so you get a message 'who' has done the download.

With the Progress ShareFile "connector" (I hope I use the right terminology) we have also access to a local (on-prem) fileserver. There is also a Progress ShareFile -connector, but not used this until now....

  • always available (I have at least that experience)
  • good support and follow-up

I can only give almost the maximum score to this question.... There is (of course) a license-cost. Only the SUN gives light for free.

We use Progress ShareFile in our organization to send documents to and receive documents from investors in our company. We would be forced to use a lot of paper sending various documents out throughout the year if we did not have Progress ShareFile, which would be wasting a lot of time and money. We also appreciate that our users can access the documents on an ongoing basis rather than only once when it is sent.

Pros

  • The user interface is very easy to navigate and understand. We appreciate this from our end as we set up a large number of users, but it is also helpful for those outside our company who do not use it very often. Once they log back in to retrieve a file they need, the navigation is like riding a bike.
  • The cost of Progress ShareFile is very affordable considering its impressive volume of uses and customization abilities.
  • Our external users do not access Progress ShareFile very frequently, so the biggest issue we encounter is them forgetting their email or password. It is great that we can go into their profile and reset their password ourselves and help them through every step of the process to regaining access. The process is seamless.
  • We appreciate that Progress ShareFile can be added to your company's network for easy access as well.

Progress ShareFile is well suited when you need to deliver documents to other people securely. We use the software when we are needing to send documents out that are too sensitive to be sent through email (ex. tax returns, K-1s). If you are only using Progress ShareFile to send regular documents that do not have any sensitive information, it may not be the best tool for that situation. Progress ShareFile is also useful when you need to deliver documents to a large number of people as they can all be kept in the same database. One final scenario where Progress ShareFile is helpful is when you need to be notified when documents are uploaded to a client's folder.

ShareFile is useful when files are too big to email efficiently

Use Cases and Deployment Scope

We primarily use ShareFile to upload and download large files, although we have used it a bit for ad proof approval procedures. Sometimes we need to deliver large printable files which either won't send via email or are very slow and block up email programs. Having ShareFile gives us a way to send them with a quick link.

Pros

  • Share large files, as the name implies
  • Give control over access to files
  • Doesn't "nag" about running out of space unless you upgrade all the time like DropBox does

Cons

  • Pricing has gone up quite a bit during the time we've used it
  • The need for increased security has impacted usability - staff more resistant to using it now
  • The feedback/approval process seemed easier before, not as user friendly as it used to be, so not using it as much anymore

When we have a particularly large ad or job printing file that would "clog up" the email process, using ShareFile is very helpful. It's also useful for particular photographers we work with to upload a batch of photos all at once. Where it doesn't work as well for us is when trying to get clients to make use of a login to access folders. We find them reluctant to take on the learning curve. It works best for us when we just send them a clickable download link, and at most just require a tracking name and email address.

The security reliability and user friendliness of ShareFile is what has kept my company with the application for almost 10 years now.

Use Cases and Deployment Scope

I use ShareFile as a Customer Document management and Customer Access portal. It also allows me to securely share large or encrypted files with others outside my organization or customer list. I love the security it provides for everything related to my business and personal needs.

Pros

  • Secure File Storage and Sharing.
  • Workflows to get customer/affiliate responses to comments on documents.
  • I used to have the signature feature initially, but it was removed from the original plan, so I could only use it if I chose to select the higher plan price.
  • I love the upload notifications and reports on user activity.
  • The document storage versions are fantastic. I am the only user with Delete privileges, and I love that I can make those selections.
  • Integrations with Microsoft 365 - FANTASTIC - thank you.

Cons

  • I would return to using the Right Signature feature if it were less than my Adobe Pro subscription.
  • If the platform could replace the features in Adobe Pro, I would consolidate to one less subscription to meet my business document management, file sharing, editing, or form completion features, as well as customer/affiliate document signatures with secure encrypted standards that meet IRS requirements.
  • My firm does not need all the client workflow and onboarding that the accountant plan offers, so I just can't justify the expense for my little firm and me. Some type of Sole employee user business plan pricing for the Accounting Level plan would be nice, but I know I am being unrealistic. I can't afford it.
  • Citrix had a significant name brand presence that would reassure those you sent documents to sign or documents to download via a link.
  • When I store specific folders on my computer, it can be scary when the computer link to ShareFile needs to be reset. I have lost entire years' worth of documents because the backup before resetting took too long and would stall or stop before completing the backup. I now limit the locally stored documents so I don't risk losing documents. I would love to see something or learn how to ensure everything added from my file explorer use on desktop is completely uploaded to the ShareFile cloud storage. The emails are to detailed to quickly review what was added, A more streamlined (less detailed) email notification option would help me review what has been uploaded quicker.

Progress ShareFile has continued to provide the security required to be an Accountant who is an IRS E-File servicer security requirement compliant. I am a sole employee in a small business struggling with pricing increases. It is hard to pass on higher prices when my clients do not rely on file storage as much as I do. Some clients (contractors who hate to even touch a computer) have never logged in.

Investment quarterly reports

I am a fee-only investment adviser, and I send my quarterly reports to my clients via their Progress ShareFile folders. They get a complete report package, including cover letter, software-generated report, my quarterly newsletter, and usually a whitepaper or two about a possible upcoming investment I'll be making for their portfolio.

  • Makes it easy to transmit sizable files
  • Expands my scope of coverage

  • Sign on could be more streamlined
  • Make it easier to move or reorder files for each client

Likelihood to Recommend

Great for report packages like an adviser has to give each quarter. I'd especially recommend it to fellow advisers.
