Vitena

Vitena is practice-management software for independent health and wellness professionals (dietitians, dentists, physiotherapists, psychologists and small multi-disciplinary clinics), paired with a public directory where clients find and book those professionals.

What it covers

Client records with session history and notes, an appointment calendar with Google Calendar sync and email reminders, form and questionnaire templates with automatic scoring, signed informed consent (eIDAS Art. 25 simple electronic signature), treatment and nutrition plans built from a food database and recipe library, a service catalogue with price list, payer declaration (self-pay, insurer or employer) and receivables tracking.

The client-facing side

Each practice gets a public profile and a 24/7 online booking page that a client can use without creating an account first. Clients who do sign up get a portal and an Android app for their appointments, plans and visit summaries. Practices are also listed in the Vitena consumer directory, so new clients arrive from search as well as from a direct link.

Scope

Vitena is built for practices that bill the client directly: private-pay work (Selbstzahler, onverzekerde zorg, özel ödeyen). It is not a public-insurance billing system: no §302/GKV settlement, no telematics-infrastructure connection, no VECOZO declarations and no statutory e-invoicing. Practices can declare the payer behind each appointment and track what they collect; the claim itself is filed elsewhere. There is no built-in video consultation either; an external meeting link (Google Meet, Zoom) can be attached to an online appointment.

Deployment and pricing

Cloud-based with no installation, in 7 languages (English, Spanish, Turkish, German, Dutch, Ukrainian, Portuguese) across Europe and Turkey. Data is processed in the EU under GDPR with a data processing agreement available. The free tier does not expire and includes unlimited client records, three seats, the directory listing and online booking; paid plans start at EUR 15 per user per month.
