Cons

  • Setting up programs. That area does not store/accept all the information entered.
  • System/record ID for tier 2 forms seems to be different from the associated tier 1 form. This adds extra scrubbing work after data has been exported to excel to remove duplicates. This is especially tedious if Record ID is selected as a filter during report creation.
  • It has enabled our organization to include concrete data in narratives, reports, and grant applications.
  • Different departments in the org now have a better picture of the work being done by the org as a whole. There is still some work to be done in this area, but overall there has been a big improvement in reducing the impact of siloed teams.
  • We now have the ability to use data to inform internal program evaluation and iteration.
We haven't yet used the data to scale our programs. Data alone cannot do this. What we have done is build a better method of program evaluation in only two and a half years. We did not have a data collection, evaluation, or reporting method prior to Apricot. Data put us in a position to apply for larger grants because we can speak about our processes and outcomes in terms impossible to do previously. Using data in this way and receiving larger grant awards had the unintended effect of giving us more resources than we had the capacity to leverage. We are now at the point, because of Apricot, to see clearly where and how we need to scale.
Funders are increasingly funding with performance-based grants. Whether government or foundations, funders require better data on the application and have significantly more stringent performance expectations. We have been awarded the money multiple times after implementing Apricot than before, with the caveat mentioned in my response to the previous question.
Apricot cost is significantly higher than Kintone for the same functionality.

The product is easy to customize. A deficiency is that some fields cannot be accessed for reports. This has necessitated some trial and error and re-entry of data several times. There should be a way for the platform to notify an administrator of this during the drag-and-drop process.
