Overall Satisfaction with EMS Software

I use EMS in the Dept. of Athletics, PE and Recreation at MIT (DAPER).

It is also used for Campus Activities and a few other departments.

DAPER uses EMS to schedule Intercollegiate Athletics, PE Classes, Intramurals, Club Sports, Institute Events and recreational use. We also rent space to non-MIT users for large events.

Pros

  • Ease of use. Many reports. Complex reservations with billing and invoicing
  • The Web App is used by student groups and other Departments to request space for both casual use and large events.
  • We use the Academic Import Utility for both classes and Intercollegiate contests and practices.

Cons

  • We recently got an upgrade, but now the system seems to have slowed down and is sometimes unresponsive.
  • Entering building hours and holidays for a year can be time consuming.
  • I would like to be able to edit text within the Comments section.
  • At this point, we couldn’t live without it!
  • We are able to schedule a wide variety of athletic facilities, both inside and outside, using the same reservation system.
  • We have also added a Building called "Off Site" for all our Athletic Contests that are held off campus.
We did a review of other products a few years ago, but EMS was the only product that fully met our needs. Unfortunately, I can’t remember the other company names, but they were the main competitors of EMS. EMS was much more far reaching and applicable for many types of reservations and departments on campus.

My department has multiple buildings and also outdoor field space and tennis courts.

EMS is also used by much smaller departments on campus who only schedule a few rooms.

Just right. We did a complete reconfiguration of our Aquatics facilities a few years ago. We have also done some combo room configurations.

We are in the middle of doing some construction projects that will add additional office and meeting space. It is quite easy to add new rooms to an existing building, or change a room name.

EMS can be used for casual users or for complex rental events. At this point, we are not using it for any "automatic" reservations.

The wide variety of available reports is very helpful for our staff.
