Use Cases and Deployment Scope

EMS is being used in multiple operations on campus all managing space and physical resources in different ways. EMS allow us to provide a flexible option for managing individual operations on a shared license to reduce costs.

Pros and Cons

Pros

Provides communication tools that help with customer emails and workflows within an operation.
There are many wizards and tools that help make processes very simple and easy.
The product is very flexible and allows for multiple use cases.
There are always updates to the software and they are continually working to improve the product.

Cons

Strategic customer training and support could be better offered and made more accessible
Customer support has room for improvement and there is usually a lot of back and forth to get a question answered.
The Desktop Client looks very dated and could be modernized and easy to navigate.

Return on Investment

EMS has helped us save time and labor on things that we were handling manually or with more complex processes
Having a shared Campus license has allowed us to share the cost of the product to be a benefit to all groups involved.
EMS provides us with robust reports that we can use to make decisions about our operation.

Scalability

We have been able to deploy EMS to 7 different organizations on a shared instance and we’re able to silo the groups to give everyone a more tailored experience.

Product Configurability

There are a few things that could be improved, like having specific hours for Rooms instead of an entire Building but EMS is very configurable and you can almost always find a way to make something work.

Likelihood to Recommend

EMS is a great resource for higher education groups that offer meeting space to known and unknown populations. In our application, we use EMS to manage regular conference spaces that require approval processes and contracts as well as walk up reservations for study spaces that have no charge associated. EMS however can be overkill for some groups that need only simple bookings.
