Overall Satisfaction with Quadient Accounts Payable

our previous accounts payable process created a significant administrative burden. it was inefficient and time consuming. We wanted to streamline time to process invoices, as well as approvals. we also wanted to move to a paperless system to avoid filing boxes of invoices at the end of each fiscal year. Quadient has allowed us to streamline all of that, and we're now fully paperless in the department.

Pros

  • User friendly interface that is easy to use
  • easy to have replacement approvers oversee when staff are on vacations
  • easy filtering to quickly find invoices

Cons

  • recognizing departments on invoices to further automate coding
  • remembering allocation splits to prevent manual adjustments for regularly recurring invoices
  • faster processing on manually submitted invoices rather than waiting overnight. if an invoice gets submitted, it would be ideal to have the automation process it immediately rather than have the employee manually code.
  • allow other formats for invoice processing, like Word or email submissions, not just solely pdf
  • improve the overall OCR technology
  • reduced processing time by roughly 80% which allowed us to reduce a position, contributing to a net savings of $50,000 annually
  • allowed us to switch over to paperless which has streamlined processes to search invoices for payment or vendor queries
  • Increased accuracy and timing on coding, ensuring financing decisions were made in real-time, allowing us to better predict cash flow needs
  • reduced late payment fees by 90% year over year
It's a fairly simple and easy to understand product. it is very intuitive. we were able to have our entire staff up and running within a week of our go live date with limited training required. Once everyone learned how to use it, there hasn't been any questions or errors. the layout is logical and the filtering options are quick and easy to use.
  • Yooz
We had a demo session on Yooz when we were switching our accounting software to Sage Intacct. We found that Yooz appeared to have better integration with Sage Intacct, and also allowed a variety of different formats for invoices to be submitted, such as Word documents and emails. It synced immediately with Intacct when ready, and the OCR technology appeared to be further along than Quadient. We stayed with Quadient though because the user interface was substantially better and there was less work required to process an invoice.

it is very well suited for organizations that process a medium sized amount of invoices each month. It helps for companies that struggle with time consuming processes and are looking to cut down on administrative time. It is very helpful for smaller businesses that want to cut down on administrative time and costs. it may not be ideal for companies processing substantial amounts of invoices as some of the automation and machine learning can be improved to better speed up processing
