What is ConsultancyOS?

ConsultancyOS is Professional Services Automation software for the service-delivery cycle of an IT services or consulting firm. It runs projects, time, billing, resource planning, and project accounting in one tenant. The same platform is an autonomous agent for that firm's delivery method. The IP Encoding System records how senior consultants do the work, stores the result as versioned playbooks, and deploys agents that draft client deliverables inside live engagements.

Key Capabilities

Engagements. A project contains phases, milestones, and tasks with dependencies and subtasks, plus sprints, a risk register, and a baseline locked at kickoff. Health reports score client, scope, schedule, and overall status. A project can be created from a playbook.
Time and project accounting. A timer and weekly timesheet feed review and approval. Rates resolve at global, client, and project level. Billing models include time and materials, fixed price, retainer with rollover and overage, and non-billable work. Approved time generates invoices. The books show services revenue, gross margin, effective bill rate, realization, and aged receivables. Xero syncs invoices and contacts in both directions.
Capacity. Allocation types are hard, soft, and sales pipeline. Workload and bench views show overallocation, underuse, roll-offs, and utilization against target. A skills matrix records skills, certifications, and gaps. Resource requests match skills, and an auto-schedule run proposes allocation changes.
IP Encoding System. An IP audit maps the firm's methods. Watch Me Do It sessions record a senior consultant at work and turn the recording into transcripts and decision trees. Agent design writes specifications, a prompt architecture, guardrails, and a review workflow. A playbook holds versioned phases, processes, steps, and media, and it must pass review before publish. Method Process places those steps, owners, and agents inside the engagement.
Core. Core reads the firm's workspace and does not train open models on that data. Ask Operate answers in plain language and returns citations. Margin Intelligence flags margin drops, cost burn, and leakage on a project. Smart Automation drafts status reports, invoice narratives, and payment-chase emails. A person reviews and sends them. Delivery agents draft client deliverables. Core drafts internal answers and operating communications.
Surrounding operations. Profit First, gated per tenant, allocates revenue across Profit, Owner's Comp, Tax, and Operating Expenses. Deal Relay records partners, introductions, shared deals, and commissions. A branded client portal, on its own login, shows that client's projects, documents, and approvals. Recruitment and a contractor portal cover vacancies through placement. A marketplace handles catalogue, proposals, and vetting. An event workflow engine can notify, assign a task, change a status, or call a webhook. The audit log records each mutation with actor, target, and diff.

Audience & Use Cases

Audience: Founder-led or partner-led IT services and consulting firms of 5 to 100 people, with a stated sweet spot of 15 to 60. Typical work is project and retainer delivery. Solo practices and product companies without a services line are outside the stated fit.
