Use Cases and Deployment Scope

We utilize Cvent Event Diagramming nearly every day at our event agency. We utilize it to create floorplans for indoor events, and outdoor festivals and programming. We love Cvent Diagramming for multiple reasons, but two main reasons are:

1. We use the "collaboration" feature often to share live updating links with our clients.

2. We are able to receive floor plans from venues that are editable and scaled accordingly.

Pros

  • Scaling - I love that you can scale a layout in the program, and it tends to be pretty spot on. For example, we could have 20 different measurements for a street, once we type in a single measurement the rest auto fills (and is REALLY close to accurate).
  • Uploading - I love that you can upload images and mark all over them. Particularly, you can upload google earth images for outside festivals, and scale them accordingly.
  • Creating - In the program you can create a diagram based on the size of the room. For example, if you know you have a 40x80 tent, you can make a custom layout and build the whole thing.
  • Setup Templates - These templates make it easy for you to auto fill an entire room with rounds, rectangles or other formations without having to fill them all in individually.

Cons

  • Font Options - When you're typing in the floorplans you can't bold fonts. For example, if you want to label something small you can't really see the font well.
  • Shapes - I find myself using the shapes more often than the pre-fabricated objects. It's hard to tell what they are in the flat layouts. THAT being said, if you use the pre-fabricated objects they look REALLY cool in 3D view!
  • Groupings - Groupings work to an extent, but for example if you put 20 tables in a floorplan individually, and then you "group" them into one, you can't really edit the tables, chairs and width between tables and chairs all at once.
  • How To's - I wish industry standards were mentioned somewhere. For example, if industry standard is to have tables 4ft a part - I wish that was listed in here when you are formatting tables.

I think Cvent Event Diagramming can be used for most use cases, indoor, outdoor, tent events, etc. It really is mostly built for indoor events, with the table/chair templates, but it works well for outdoor events!

Cvent Event Diagramming is used in our organization to create floorplans and mapping of events. It is an easy tool to assist with seating charts. The program is quite easy to use and understand - essentially a drag and drop system. This is a good product if you are often creating seating charts or room designs.

Likelihood to Recommend

This is a great tool when you are trying to determine a room set up. It can also help with seating charts and just a general layout for your events. If you are not creating custom seating charges, this program may not be as necessary. If you are often designing room layouts with different headcounts and table sizes, this is great.

Cvent Event Diagramming/Social Tables is a necessary tool to help planners plan their event in your hotel.

I use the Cvent Event Diagramming tool to show the set up crew exactly how the event needs to be set up. It is a powerful tool so nothing is misunderstood and everything cal fall into place where it should be. The changes are easy to make and you can share the floor plan with clients, cres, and catering.

I think well suited are difficult floor plants that simply explaining is not enough. Not suited would be the run of the mill set ups like theater or classroom style setups. It also assists with showing our set up crew exactly what needs to go where and will allow the builder to see if there is enough room to do what the customer is asking for.

We use this for diagraming all of our student center spaces in order to ensure compliance with fire code and capacity needs. I've also used Vizio and Powerpoint. But neither can do "scale!"

  • PDF print out a bit cleaner.
  • Allow for more robust collaboration in a shared environment (like a Google Doc)

It's the best software I've used. It allowed me to collaborate on a huge event with multiple stakeholders to ensure the main planner understood the venue and capacity issues. It's also allowed me to realize the scope of venue needs and abilities. Very helpful in visualizing a space.

We use diagramming to show customers and team members how a meeting room will be set up. It helps make sure all parties are on the same page so there are no issues on the day of the event.

Our meeting spaces are not perfectly square so this diagramming tool allows us to show a customer exactly what they are walking into. It is nice to be able to show them where AV, trash cans and water stations will be located

Cvent Event Diagramming is an intuitive program that helps bring the room set-up to life. I appreciate having this tool to show my vendors and hotel contact the vision of how I would like the room set-up. I also like the ability to give them access so they can collaborate with me and help design the room layout.

This tool is bested used in planning out more intense set-up for events, or where you want to share with Vendors and Hotel Contacts where you would like certain items set-up in the room. I had previously used Meeting Matrix, and I appreciate the Collaboration access I can grant to vendors and contacts so they can help design the set-up based on them being the experts and knowing the space better.

I took the free course to gain professional experience and better understanding about spacing, arrangements, and practical designs for conferences and events. The program was easy to follow and I would recommend it to others who are just starting in the field or even those venues that are established. It’s easy to use and the training is purposeful.

This would be well suited for a smaller wedding venue to a large conference center. Also, consider it for conventions. The venue can easily be changed or altered if the number of participants change or the needs of the participants change. There’s no need in wasting time with a pencil and paper with the frustrations of erasing. Diagrams look formal for proposals.

This product has helped us sketch out what our needs will be with a venue and how we can best design an event to be successful for us, our colleagues, and our partners and attendees. Being able to have a visual tool in event planning is hugely helpful and valuable to a successful event and experience for attendees.

Use Cases and Deployment Scope

I used Cvent Event Diagramming to create floor plans for events. We used it to make sure the layout was accurate and proportional, and that we could fit the necessary furniture and technology into the room when fully occupied. I like that you can accurately design the space needed. I would recommend it to any event planner/designer of any company/industry.
