Use Cases and Deployment Scope

We have numerous documents that we need to create. We usually have RFI responses and contract proposals that are generated for prospective clients. Then for signed clients, we have to generate the plan document and plan adoption agreement. We maintain building blocks for each of these documents and then can point and click to which blocks or sections go into the document. This helps our business unit maintain consistency in our proposals and makes sure the legal text of documents does not get modified to using unapproved language. We save countless hours by having JungleDocs as our document management and document creation software.

Likelihood to Recommend

Great for maintaining consistent language in proposals, contracts, RFI responses, and other legal documents. We can make sure our language passes our legal, regulatory and compliance departments without burdening each document with detailed reviews. This saves us time. When responding to RFIs, we have some standard language to several hundred questions and we can answer them by clicking the boxes. We put in an RFI response question # so they can easily be sorted to match the RFI document. Again, I can't count the labor hours saved. We use this to build plan documents and plan adoption agreements using building blocks that are added by selecting the sections and clicking some checkboxes to determine what gets added. JungleDocs is great for these use cases.

Tricky Startup But Increased Efficiency

Use Cases and Deployment Scope

Still fairly new with the JungleDocs program; our department uses SharePoint for working internally and externally, mainly with sharing contracts with clients. JungleDoc works really well with SharePoint and improves efficacy by creating an automated process for creating documents based on files already saved in SharePoint. It eliminates extra steps by using metadata from existing files to auto-populate the new document being created.

Pros

  • Auto population of documents from files stored on SharePoint. Eliminates extra steps for more efficacy.
  • Can also set up automation for managing documents. Our department uses specific naming conventions for our documents and JungleDocs allows the naming conventions to be automated to help eliminate human error.

Cons

  • Takes some time to understand and get use to how the program works. Startup takes some time to learn.
  • Some of the support documents/help pages are confusing. A better tutorial would be helpful.

Likelihood to Recommend

JungleDocs is good at reducing the amount of time it takes to create documents/contracts by auto-populating the documents, but it takes some time to get things started up. Harder for members of the department who are less tech savvy to get the hang of the program so in those cases it has decrease efficiency. But for members who are more familiar with metadata and automation processes, it has improved their efficiency.

We use JungleDocs as a template solution across our SharePoint sites. It enforces standardization.

Pros

  • Enforces standardization
  • User friendly, for the end user
  • The ability for the end user to manipulate the content
  • Works well with SharePoint

Cons

  • The ability to update fields in headers and footers, if they change after the document has been created
  • When content or metadata change, the document doesn't auto update the fields in the document, you have to manually go and click the update option (excludes fields in headers or footers footers)

Likelihood to Recommend
