We use Microsoft To Do as a task manager when we have a project with team members who are perhaps less technologically savvy than others. Microsoft To Do allows us to create projects on a platform that everyone already has and uses, so buy-in is easier, even when using a task manager for a project is uncomfortable or new. Microsoft To Do is user friendly and accessible so no one needs to worry about another subscription, platform training, or password.
Pros
Microsoft To Do is extremely user friendly
It's easily collaborative, so sharing projects with teammates is simple
It's already integrated with the important Microsoft apps so if you're on Outlook, you're already set up with Microsoft To Do
Cons
Organization gets confusing between tasks, lists, and teams
It doesn't allow you to send yourself emailed reminders, despite being attached to Outlook
You can't really customize tasks and lists with colors or anything
You can't have subtasks under tasks
Likelihood to Recommend
I think Microsoft To Do is helpful for people who don't need a lot of customization in a task manager. I prefer using 3rd party task managers that allow me to create projects with tasks and subtasks. But for a team that already uses Microsoft products and doesn't want to learn or invest capital in another task manager, Microsoft To Do covers the basics and syncs with your calendar.
I use Microsoft To Do almost every day to manage both my business responsibilities and my personal life, and it has become one of the most reliable productivity tools I use. What I appreciate most is its simplicity—there’s no steep learning curve, yet it’s powerful enough to handle complex, multi-layered task lists. I can quickly capture ideas, assign due dates, set reminders, and organize tasks into clear, meaningful lists that actually reflect how I work. The integration with Outlook and the broader Microsoft ecosystem is a major advantage, allowing emails and flagged items to flow seamlessly into my task list. This keeps important commitments from getting lost and helps me stay accountable. I also value how well it syncs across devices, so whether I’m at my desk, on the road, or at home, my priorities are always visible.
Most importantly, Microsoft To Do helps reduce mental clutter. It gives me confidence that nothing is slipping through the cracks, allowing me to stay focused, organized, and productive both professionally and personally.
Pros
Separates personal from work tasks
Integrates seamlessly with Outlook
Integrates with windows desktop
Provides a GREAT and easy to use Phone App that syncs with the desktop
Cons
A drag and drop feature would be nice
Seamless integration with Google Gmail
Seamless integration with google calendar

Great to capture flagged emails for reminders later. Great for quick entry tasks. Would love it if you could set a checklist so that you could more easily assign a task to a category, that is currently a little more tedious than what it should be. The lack of integration with Google is also a little disappointing.
I personally use Microsoft To Do at our company because it's the easiest tool for managing tasks when we don't have the software available to us. I use it for general and recurring tasks. Emails that I mark as a task/follow-up are also listed in To Do, which is a neat feature, alongside the ability to "send" tasks from OneNote.
Pros
Simple task lists.
Integration with other Microsoft products like OneNote or Outlook.
Clean, easy-to-use UI.
Cons
No advanced features, such as categorization, different views, project management, etc.
Integration with Microsoft products also tends to be limited.
"Sticky note" type quick notes would come handy (maybe integrate with OneNote).
Likelihood to Recommend
Microsoft To Do is excellent for quick, no-frills, simple task lists and reminders. Less suitable for managing robust projects.
It help me organize my work tasks. Keep my due dates. Allow me to describe and annotate my ideas directly on the tasks and setup steps to conclude each one. That way I have all my development schedule in place and for easy access in the company professional Microsoft professional account.
Pros
Organize the to do tasks
Annotate Ideas
Keep the due dates on check
Cons
Allow to reorder freely
Export tasks
Share Tasks
Likelihood to Recommend
- Organize the to do for the day, week, month - Keep track on meetings notes - Annotate the ideas

As a small business owner also working a full-time career and managing a small family, it's hard to juggle all things at once without something slipping through. I use Microsoft To-Do to keep all of my tasks bucketed into their respective "families" you could say and make sure I don't miss deadlines for projects I'm working on. It also helps me see and plan far in the future. I use Groups in To-Do to manage lists for large-scope projects that could span over months or years. Before I used Microsoft To-Do, things were falling through the cracks, or a deadline would come up that I didn't park anywhere in a usable way, and it would be too late to act on it.
Pros
Simple task management. Through lists and groups, you can assign tasks, organize them into groups, and add deadlines (or not) to each of them. You can also add micro-steps within each task if you want to break it down even further.
Daily View - I know what's next, as well as what's coming up. I can turn on my laptop in the morning, open up Microsoft To-Do, and clearly see what needs to be done that day, what I may have missed from previous days, and what is coming up tomorrow.
The ability to add detail to a task. You can add micro-steps, like mentioned above, but also reminders that ding in-app, a deadline, a repeating deadline (which I love for weekly or monthly tasks), a category, files, and notes.
Cons
When adding a task with a repeating deadline, if the first deadline is set to a future date, the deadline will revert to "Today." This essentially has me set the deadline twice. If I remember this glitch, I'll set the repeating schedule first, then the deadline.

It really depends on the colleague to determine if I recommend the product. I don't use the Microsoft email service, but it does tie to that product. It isn't so much a "visual" to-do list as some other products like ClickUp, so if my colleague needs more of a visual look at their projects and to-do list, I wouldn't recommend it. However, what this software does really well is simplicity. It just works, and it works really well. I can see all of my projects for the quarter on the left-hand side for work, business, and life, then can click through to see details of each goal. I always have a daily view of my to-dos that helps me plan my day to be as productive as possible.
Working with Microsoft Office 365 suite gets supercharged with Microsoft To Do.
Flagged emails? Auto suggested. Assigned tasks from planner? Already on your to-do list. Work mentions in emails and highlighted by Microsoft Viva? Added to the day of your reminder.
Thing is that Wunderlist was already very good and Microsoft has managed to keep it that way and integrated it into their app. Given that I work in a cross-functional capacity in my organization makes Microsoft To Do super useful.
Pros
Suggestions.
Assignments.
Reminders.
Cons
Overdue assignments/tasks can be managed better. Would love it if To Do reminded me of the things I'm behind without having to open Outlook.

Microsoft To Do is free and integrates well with the Microsoft eco system. If you use Microsoft launcher on your android phone and Microsoft 365 as your office suite then this is a natural fit which works out of the box without having to put much thinking into a setup. The rest is a bonus.
I use Microsoft To-Do for keeping track of personal tasks. I don't use it within the context of a team or for any major project management features, I'm focused on using it for more individual day-to-day tasks.
Pros
Creating lists of things that need to get done
Creating lists of other items that you want to sort by category
Giving you a prioritized list of what you should try to accomplish in your day
Cons
Easily assigning tasks to others: [I feel] it's confusing that some lists are shared and others are not and you can't move items between them
Auto-detect of dates or tags for quick list creation
Likelihood to Recommend
Creating a personal list of to-do items that you need to achieve. These could be one-offs or recurring items.
Managing simple projects with multiple stakeholders and follow-up items.
Using your task management software in conjunction with additional Microsoft productivity apps.
We started using Microsoft To Do to help our project management team stay up to date on tasks and keep a good working schedule that was easy to follow. We also wanted it to work with what we current[ly] are using, which was all Microsoft software. It appeared on the surface that it was going to allow our team to do a lot of work in one place. It did help but it felt limited.
Pros
Giving priority to certain tasks.
The scheduler did work well.
Mobile app.
Cons
The software felt limited.
No budget features.
Support was not great.
Likelihood to Recommend
If you're not running multiple other softwares already then this might be a software to look into. For us, it just became another software for people to learn and try to work into their daily work load. It didn't suit our personal needs. I feel like if you're 3-5 people in an office or even if you're working from home, then it might be a great option given that it's free.
Each individual uses it as they need to. I use [it] to manage my daily workload so no important task falls through the cracks. It's important for me as I can manage tasks by urgency & have a visual overview of where I am at for the day.
Pros
Manage tasks by urgency
Manage tasks by day
Very easy to use
Cons
None that I can think of
Likelihood to Recommend
You cant assign tasks to people, but it's great to manage your own to-dos and tasks based on day & urgency level.
If you work with projects or you are a person who needs to order his day to improve his productivity, you must use an organization tool and MS To-Do is one of them, it is simple to use, you keep everything in order and at a glance, it allows you to manage calendars, notes, assigned tasks and organize between those tasks that are more or less important.
MS To-Do helped me a lot in the organization of my projects for the team, as well as planning a better distribution of the hours, to be more productive, to be able to have time to perform my assigned tasks, and also to be able to dedicate time to my specialization studies
Pros
Nice and simple UI.
Easy to use.
Everything that you need you could get it with one-click.
Perfect Sync system.
Cons
It is a simple software, so it does not have many other options like Evernote
Set date-time is a little bit hard to set.
Share you task with another is difficult.
Likelihood to Recommend
The best use I had for the software is with the organization of my tasks, it helps me a lot when it comes to dedicating time to work, organizing the most important things, and then taking advantage of the time to continue improving my skills. But when it comes to sharing tasks with other team members, it becomes a bit difficult, there is no easy way to show others how busy you could be and where you are spending your time.
