Use Cases and Deployment Scope

Our society has migrated its entire membership operations to White Fuse and this has dramatically improved our efficiency, communications, branding and administration.

Pros

  • Renewal of membership subscriptions
  • Broadcast emails to segments of contacts
  • Provide an attractive, easy to administer website portal
  • Handling financial transactions securely

Cons

  • Updating records en masse (to mark as attended) or other groupings would be useful
  • Some ability to interact with data for download (filters, column selection) would also be useful

Return on Investment

  • I have reduced my hours in managing the renewal process and liaising with members struggling to renew and/or login
  • The dashboard showing renewal patterns and current membership numbers is always realtime where I used to have to manually count
  • The ease of administration of financial transactions through Stripe means no GDPR concerns for us and it never goes wrong!
  • Broadcast emails are easy and quick to deploy
  • Event management is easy - bookings are handled automatically and producing delegate lists and communicating with them is easy

Use Cases and Deployment Scope

White Fuse is used for our membership database and also our website. Previously we had no proper database, just an increasingly unwieldy Excel spreadsheet.

White Fuse has transformed our ability to manage our members data, renewals etc very effectively and allows us to send emails to all or segments of our membership very easily.

Pros

  • It is a highly effective tool for managing members' data, renewals etc. Those members paying by DD or credit card do so via the linked platforms of GoCardless and Stripe so their renewals take place automatically, which very significantly reduces the time it used to take.
  • The support offered by White Fuse. Support is always speedy and helpful. If one finds some functionality that WF does not yet have, it is added to the list of upgrades and in due course is incorporated. This is really excellent.
  • We also have an online form for grant applications (we are both a membership organisation and a grant giver) which makes it easy for libraries and archives to apply to us for funding.
  • The lack of spam that I receive via the site. It was a problem but it now isn't at all and this is a great plus.

Cons

  • The website 'end' of White Fuse could perhaps be improved. We previously had a Drupal website which allows more variety of content and formatting. Currently in White Fuse there are times when one has to go to HTML mode to amend formatting and for someone who has zero experience of programming this can be tricky.
  • The ability to send proper invoices automatically via White Fuse. Many institutional members require a formal invoice rather than the invoice notification that White Fuse currently sends. This would save us time.

Return on Investment

  • Very positive. Obviously we now pay for WF whereas our excel spreadsheet was free but our excel system was impossible to use and we probably irritated or lost members because it was quite unequal to the task.
  • The website is included in the monthly payment we make which should be factored in by potential WF clients when reviewing cost/benefit of adopting White Fuse. In our case we have had to continue with a separate but linked site for our database of past grants. This database has grants from 1931 to present and is huge so it's not, I think, a negative point for White Fuse that it is simply too large to be accommodated.
