Not necessarily the best but perfect for our business needs

Use Cases and Deployment Scope

In our organization, we use Zoho Projects to manage all work-related tasks. Tasks are assigned to specific team members and those members are kept accountable to finish a task based on the deadline set. During a weekly meeting, we go through missed and incomplete tasks. We also discuss and create new tasks.

Pros

  • The calendar view is great for getting an overall glance at which tasks are due and when. We use this all the time
  • Reminders are sent via email when tasks are due on the day they are due
  • All tasks in one place
  • The task creation interface is comprehensive, allowing attachment, lists, and much more

Cons

  • improved mobile app interface
  • reporting features could be more robust and useful as we don't even currently use this feature
  • 3rd party intergrations are few and not easy to setup

The fact that Zoho Projects is included with a Zoho One subscription, it was a no-brainer for our organization to move across to Zoho Projects from the previous software we used. It is way more economical for us.

We have previously used Zoho Projects to set up a plan, assign tasks, and track the implementation of a new accounting system. Our marketing department has also used it to develop our monthly newsletter.

Pros

  • Time tracking.
  • Task assignment.
  • Reminders of upcoming task deadlines.

Cons

  • Assigning new members to an existing project was rather confusing.

Likelihood to Recommend

Zoho projects were very well suited for the marketing team to plan and track the progress of their next issue of our monthly newsletter; however, on a larger scale of implementing a new accounting platform, it was more challenging to track as not all members of the accounting team were on board with documenting each phase of the process and many of the pieces of the project were contingent on one person to input all the data and then for another person to complete their portion before the others could start.

We use Zoho Projects to keep all of our project tasks in focus. Also, it's easier to use, and the capabilities for establishing integrations with other collaboration tools like Google Workspace are reliable. Also, it's faster to deploy templates and follow tasks for our projects to keep a proper track of our customer's projects to share all of the most important task highlights.

We recommend Zoho Projects if you want to keep an eye on all of the most relevant KPIs about Project Management without doing a hard billing since we rely on a Cloud-based environment. Also, the possibility to have integration with other cloud collaboration tools is one of their most relevant points to manage our Projects easier.

It is being used by Digital Marketing department. Zoho Projects provides a user-friendly and intuitive design as well as a robust foundation. It also offers a mobile app that is compatible with both iOS and Android. It also does not come at a high price and is actually fairly reasonable. It also includes Ghannt charts and reports. It also has an easy-to-use calendar. It also has Zoho Docs and Zoho Sheet integrations.

  • Slightly unusual resource management view.

Team who lack for thousands of dollar may not try this. Those who need mobile support may not get benefit. These apps' resource management tools are also a failure. In addition, using software to manage many jobs at the same time is not a smart idea. It is difficult to work with when it becomes overloaded, thus it is not suggested for large groups. The project management software also lacks the flow chart app.

We use Zoho Projects to manage our software implementations. We do consulting projects that involve discovery, design, execution and training of software tools. We use this to assign tasks, keep track of progress, due dates, etc. as well as provide the client with information on what their tasks are, and visibility of progress.

  • Customizable reports.
  • Better customization of dashboards.
  • Not very intuitive.

Likelihood to Recommend

Services project management is awesome. You have issues/bug reports, time tracking, a lot of different levels and relationships between tasks, critical paths, automatically generated Gantt charts, resource utilization, etc. Construction is a little tricky, but you can definitely pull it off. I would say manufacturing type of projects isn't an adequate fit.

We implemented Zoho projects across the entire professional services side of our organization. We used it as our primary project management system for client work, helping coordinate cross-functional teams. Before Zoho, we were using Basecamp and having trouble tracking projects (our team is part of 100s of projects at a time, so the Basecamp format was messy). We were hoping Zoho's structure would make more sense for our organization.

Pros

  • Swiss Army Knife: The suite of Zoho projects can be tailored to fit the needs of any business. It's great to have a bunch of different software offerings that will work together seamlessly.
  • Task Customization: Zoho allows you to customize your tasks more than other platforms (add start dates, due dates, dependencies, subtasks...)

Cons

  • UI: I wouldn't say Zoho was ever pleasant to use. Having used Asana for many projects in the past (and believe it's one of the prettiest, most intuitive options), I found Zoho extremely clunky. It's also missing basic functionality like recurring tasks.
  • Too Complex: We are a technically-minded team, but project management novices. Zoho offers too much customization and due to the poor UI, it was tough to make it our own without the help of our CTO.

Zoho is well-suited for:

As a team leader, I am always conducting meetings with clients; I always search for a new and effective place for my projects. The best part of the Zoho Projects is that it's free and is an online cloud base, project management. The best part of this is that there is no restriction for creating projects. Right now, only my designing team is using this, but it will be implemented to all department if our work with Zoho Projects is successful.

<div>We run many projects at the same time, and time management was critical. Due to its excellent APIs is has very flexible work management. We can switch to different projects at any time and can share with other partner easily. </div>

  • Give full control of the activity by their manager.

  • I often have login issue, and it has some minor bugs
  • Invoice function seems useless sometimes

As the team leader, I often work on two to five project at the same time. It's not so easy to keep an eye on all at the same time, but due to Zoho Projects, my team keeps me updated through it. Zoho Projects has a great project tracking feature and has an easy task management interface. It gives me easy to switch between many projects at the same time, and I think no other software does that now.

<div>I have some things that I don't like, so much like my main issue was login problem, and the invoice creating option is useless. Sometimes, I found the performance chart confusing. It hard some time to understand the chats in the beginning.</div>

Zoho Projects is mainly being used at the project manager and management level to document tasks and issues, assign them owners, and track their progress to completion. It substitutes what we would have otherwise done with MSP, Excel and even Trello and Asana. It provides an online collaborative environment for us to keep ourselves aligned to our targets and goals. The availability of a mobile app is an added bonus to tracking activities.

Pros

  • No restrictions on number of projects you can create. Easy to switch between projects in the same online interface vs managing multiple files.
  • Ability to create workflow automations that trigger on event based activities, which enables standardization of processes.
  • Ability to share projects with outside vendors/project participants and improve the collaborative nature of Project management.

Cons

  • More flexibility on making the user interface more compact (like Excel or MSP). Current interface is well spaced, but some users may like a more compact view.
  • More simplified Gantt Charts that help us understand progress and dependencies.
  • Ability to export projects to Excel for sharing with others we can't/don't want to bring on to Zoho projects

Zoho Projects is well suited for corporates who want to make project management a more collaborative tool rather than a PM managed tool. It's well suited for startups where founders/co-founders come from large corporate settings and prefer to use comprehensive project management tools over new age tools like Asana and Trello. Its well suited for those who appreciate the importance of dependencies between tasks and want to build and track comprehensive plans for their projects.

Zoho Projects was used as a collaboration tool across the company to track project status, timelines, and manage workloads. The tool gives you the ability create dependency task lists that start backward or forward. Integrations were helpful. Reports were used for internal visibility and assisted with overall management and expectations. Overall the tool was very easy to use with a simple user interface.

We currently decided to not use Zoho any longer. I have a small Accounting business, and myself and my partner tried to use Zoho for many months to organize our projects and keep up with projects that were in a pending status, completed as well as reoccurring. It was a struggle to use this software based on the lack of customization we wanted and needed. It worked well for client data storage and campaign process, but overall it did make the cut as being our project management solution long term.

Pros

  • It's easy to enter data.
  • Sends out daily reminders (to my inbox).
  • It had a nice calendar feature.

Cons

  • It needs to have more customization.
  • Features were too basic.
  • It's hard to reach support and training features.

It worked well for reoccurring projects when you have the same items as a template base, and it was easy to create new projects from templates. However, it was cumbersome to customize and lacked a good conversation history for storing information that a team could easily find and respond. I did like the integration features, especially the calendar functionality. It was also very difficult to get support. I found that there was overall a lack of good support when trying to learn the product. I prefer to learn on my time instead of having to schedule time with someone live. Our current software has training clips to help learn the features of the software fast, and it is very convenient when I needed it. I felt that this product could have used more time in the beta phase before being rolled out. There needed to be more upgrades for common features that just were just not there yet.
