Overall Satisfaction with Assembly Neos

My firm utilizes Assembly Neos to manage our case files. We are a large medical malpractice law firm. Working in medical malpractice means we need to store (typically) thousands of pages of medical records for each file. Using Assembly Neos has allowed us to keep these records more organized and easily be able to pull up large files, something we struggled with with our old program/software.

Pros

  • Stores large files/allows for large files to be easily accessed and pulled up
  • The Assembly Neos tagging feature in the notes section has been incredibly helpful in keeping assignments organized and directing coworkers to certain case files
  • The tabs in the Documents section are very detailed and help keep large case files organized
  • The display of each file is easy to look at and organized, even when the files are very big or busy

Cons

  • I wish there was a way to send notes via email more easily to coworkers. If I want to send a note or a document to a coworker as an email (which I do have to do frequently), the emails aren't stored in the files, so I have to type out every single email. If the emails are "saved" within the tagging feature, I think they should be saved to send emails as well.
  • Sometimes the tagging feature doesn't always work in the notes and I have to log out and log back in for it to "reset", even though I log out of Assembly Neos at the end of every work day
  • The cases aren't always easily searchable by each party name. Sometimes we have many different family members calling for case updates/information, and even if we have the caller's name in the party tab for that case, we can't always pull up the casefile when searching the caller's name
  • This isn't necessarily something I can give tangible numbers for, but with our old software, we ran into issues where we had to go on "hunts" for certain documents or records, as some items we kept physical copies of. With Assembly Neos, we can upload and save everything to the platform, which I think has allowed for us to work more smoothly on the cases, which, in turn, has led to quicker settlements/faster work on the case.
  • A cloud/internet based case management system vs a downloaded program (which we previously used) has allowed us to work from home more or after hours when needed. This has helped with quickening the case process from start to finish.
I think Assembly Neos is a very simple program to use. It's easy to keep organized, easy to look at, syncs well with our emails. The only thing that deducts it points in my mind is how it isn't always easy to search up case files. For example, we have many individuals listed in the party tab for each case. If one of those individuals call and we search by their name, it doesn't always pull up the file. I know that ideally the person's name should be in the "contacts" section of the search results, but unfortunately that doesn't always happen. Could just be a bug, but if that could be fixed it would gain a point in "overall usability" for me.
Our firm used to use a program called TrialWorks. We selected Assembly Neos because Assembly Neos is a cloud/internet based case management program, which allows for it to be more easily accessible to employees either from home or even just in the office. With TrialWorks, we frequently ran into issues with the downloaded software disconnecting from the server or not uploading in real time for all employees, but at least with Assembly Neos, if you're connected to the internet, you can access everything. That has been a game changer for us.

The biggest takeaway for me in my firm's transition to Assembly Neos was how well suited the program is for storing and keeping large case files organized. This includes cases with many different documents/files to cases with medical records that are thousands and thousands of pages. The tagging feature in the Notes section has transformed how we bring each other into each case file and organize assignments. I would love to see Assembly Neos implement an easier way to send emails to your coworkers from the case files. As of right now, you have to manually type out the email addresses. Some of my coworkers have very long names and sometimes I am sending documents to multiple coworkers. It becomes a bit tedious and seems unnecessary considering all of the emails are stored already within the tagging features. I would like to see them saved in the "email feature".
