Overall Satisfaction with IBM Apptio

IBM Apptio is used for financial purposes in the Department of Administration. It is used for financial reporting and budget tracking of small agencies and offices under the Department of Administration. IBM Apptio helps address problems with timeliness with financial reporting. It helps with reducing the amount of time that is spent on reporting and also helps the agencies and offices receive the data in a way that is easier for them to understand.

Pros

  • Allows for easier reading of financial data
  • Helps reduce the time it takes to compile reports
  • Allows for agency data to be more organized

Cons

  • I think the environment functionality is a small thing that could be made easier to understand how it actually changes the view
  • On some of the filters instead of having just the Department code having the name would also help with navigation
  • A feature to compare some departments or agencies side by side would be a cool thing to have
  • Has saved hours on time in comparing budget expenditures of departments to their actuals
  • Has helped optimize the ability to analyze data and compare yearly financials
  • However, does not decrease time in comparing budgets of different departments or agencies as can't view both side by side
In my role at the Department of Administration I use the flexible analytics part of IBM Apptio the most I would say. This feature helps out a lot by being able to give me fiscal year financials that are easy to read and understand. It also helps with the budgeting part, as I am able to see how far a department is in their budget so far.
I have not really had much experience with the post-sales support team, but the interactions I have heard of are quite positive. If people have questions or need help with IBM Apptio, they are usually helped in a timely manner and are able to get their situation fixed without much of a hassle.

A scenario where IBM Apptio has been a good thing to have is when I am trying look at a department's or agency's budget. IBM Apptio does a good job of making it easy for me to find what I am looking for. However, if I am having to compare departments within the same agency, I am not able to view both side by side. I have to look at one and click out of it to go to another department.

Using IBM Apptio

5 - The people who use Apptio in my organization represent multiple different departments. Some represented include state healthcare, department operations, accounting, and budget management and analysis. They all use Apptio in a way that allows for them (not everyone is budget oriented) to be able to understand the numbers that are in front of them.
3 - To support IBM Apptio, we have in house a budget manager, budget analyst, and Service Center manager to support IBM Apptio. We use mostly analytical skills to help us understand what we are wanting people to see, as our goal as the in-house people is to make Apptio as user friendly for others who don't see it the way we do.

We absolutely love it at the State of Kansas. It is very user-friendly, which helps us explain the information to those who are not as into the budgets. We consult out with Marysville, and they are super helpful in helping us with the behind the scenes stuff, like creating new tabs and uploading the reports for us to filter through. It is very simple to use and that helps us be able to teach others in our department how to use it properly.
