Overall Satisfaction with SAP Ariba Procurement

We use Guided Buying through out the Danish org. for all end users. And P2O for our professional purchasers.
The SAP Ariba procurement tool moved from a high manual process to 95% electronic tool including catalogues, which were not used before.
  • Simple and ease of access
  • Provide intuitive options in GB
  • Fast and secure submission of PR and PO to our suppliers
  • Field names/labels in GB 'Ad-hoc template' and P2O are not the same e.g. title (P2O) is product name in GB, very confusion for our users. Would be create if the field names are the same and perhaps a logic to move the 'product name' to the description field, so the supplier will get the correct information.
  • We send all our POs out via AN, but if our suppliers mailbox is setup with an autoreply fx. Thank you for your order, then this reply, is perceived by the AN as an OoO and thus a rejection of the PO. If this is not soon to be solved, we will consider to move to sending our POs out from our back-end instead of Ariba - this is really annoying!
  • I like the knowledge community, but it would be great if it was possible to post questions directly to Ariba support. Now I need to either send a customization or configuration request to contact the support.
  • We moved 100% of all PO for Indirect Procurement into Ariba, of these 55-60% origins from catalogues. It has ensured a very low use of manual hours for the professional purchasers, and transparency for all users.
  • The integration to our back-end with CI9 is tuff and brings issues when ever something new is needed or some errors occur. We have an external partner who supports our back-end, and that partner lacks an enormous amount of Ariba knowledge.
  • The implementation was a large step in the digitalization journey we are on.

The tool is well suited when buying repetitive goods and services, where a catalogue is implemented.
It grants a full overview of the approval workflow. Approvers can use the mobile app to approve, which is great.

On the flip side:
Service order functionality does not fully integrate with GB, as the child request is only send to P2O, as our end users are only using GB, it would expand our usage of GB, if the service order functionality would be setup in GB.

I think, that if you have a strong top management support of implementing the SAP Ariba procurement tool, both resource and moneywise - there isn't as such any limitation, as to what can be bought through the tool.
