Use Cases and Deployment Scope

We mainly use Vertex for the purchase transactions for the United States use tax and international value-added taxes. We don't use Vertex for the U.S. sales tax for invoicing purposes.

Pros and Cons

Pros

Vertex catches invoices that we wouldn't have found for use-tax.
Improves our SOX and audit controls.

Cons

There were some weird bugs, such as California local taxes being doubled in the expected amount, causing huge variances while running reports.
Vertex O'Series can be confusing moving between all the different interfaces.

Return on Investment

Provides Audit support defense and SOX controls for sales and use tax system.
Our previous system didn't show how much sales tax we had collected from vendors, so Vertex allows us to do reverse audits for sales and use tax more efficiently.

Vertex can easily provide guidance and information on complex tax scenarios. For example, California allows a Research and Development reduced rate for some purchases. Instead of charging the full sales tax rate, our system flags eligible purchases based on account coding and accrues the reduced sales tax rate. We save some money by not remitting as much.

Scalability

There are many international VAT reports that help with filing those international returns. The program can be easily scalable since it runs offsite and is connected with our Oracle program.

Usability

Vertex is very automated, and we have noticed minimal errors or mistakes. However, I wish that Vertex was a bit more updated in regard to user interface. Some of the website designs seem a bit old and aren't as intuitive as expected.

Alternatives Considered

Avalara

I haven't evaluated anything else or any other products like Vertex. I have only seen some of the Comparisons between Avalara and Vertex. I don't remember much in terms of differences.

Likelihood to Recommend

Vertex is an excellent solution if you have locations all within a single state and don't have to worry about Multiple points of the user for software and other large purchases that may need to be sourced. While you can tweak and adjust software and other purchases, it requires much knowledge within O'Series and training to ensure you don't mess up the whole system.
