Vertex Indirect Tax O Series
Overall Satisfaction with Vertex
We use Vertex O Series to collect sales tax for sales made by our entire organization. O Series applies all up to date sales tax law to each and every sales transaction in order to ensure accurate sales tax collection. Sales tax rates are also kept up to date and are driven by the sale or delivery address. O Series also provides the accurate and detailed reporting that is necessary for us to file monthly sales tax returns.
- Vertex O Series has "address cleansing" capability which increases the likelihood that correct addresses are used and proper jurisdictions are assigned to those addresses. This ensures proper sales tax collection and reporting.
- Vertex O Series is customizable which means that our tax department can make changes within the software to tailor it to our own specific needs without getting our IT department or Vertex programmers involved.
- Vertex O Series has excellent reporting capabilities which enables us to easily obtain details about our transactions and the tax that we have collected. This makes monthly sales tax compliance and periodic external audit defense much easier than it was under our old legacy sales tax system.
- We occasionally experience collection issues as a result of O Series software updates. Vertex is a relatively small company which means their product support department is not as large as it is at other competitors. We are sometimes frustrated with the quality of support that we receive.
- The software is somewhat complicated which means that it takes an experienced hand to make certain changes within the system.
- ROI on software is difficult to measure but the software definitely saves our tax department time on monthly compliance and periodic external audits. I am sure that we have reduced our audit liability due to the functionality that the reporting provides but I don't know how to quantify that benefit.
- Vertex has saved time for our IT department because they no longer have to make frequent changes to update our ERP system with changing tax law.
Vertex O Series is the most robust software in the market. They have more sales tax transaction types than their competitors and also have a special "address cleansing" function which ensures proper sales tax collection and reporting which sets them apart. Their system is also very easy to use for regular tasks.

AS400 integration took several months and was fairly complicated. I wish that we had tested more before completing the integration but we were on a tight time frame and ended up paying for it with frustrations that resulted from not completely fleshing out details.
We still manually prepare returns but the reporting functionality is much, much better than it was under our old legacy system. Vertex does provide the option to automatically generate returns but we still have to make manual adjustments to the data before preparing returns so we don't feel comfortable using that option. O Series does fully automate sales tax collection, however.
We do not use O Series for use tax due to the complexity of implementation and the fact that it wouldn't work with our current internal processes.
We would not change our evaluation process. We talked to several different vendors, viewed all of their demos, and were satisfied that Vertex O Series was the best fit for us. Due to the unique nature of our heavy duty truck lease and rental business, we were somewhat limited in our options but, even that aside, I still believe that Vertex is the best in the market.
