Abas ERP

ABAS by far offers the most bang for the buck. We are able to handle all of our business functions through ABAS and also have additional features like Business Apps, Business Intelligence, Vendor and Customer portals, as well as many other features that many other ERP packages didn't have. It has allowed us to consolidate our software packages and also provide visibility since everything is now connected.

Microsoft Dynamics SL

If someone is looking for a true accounting system for a small to mid-sized company, then I would definitely suggest looking into Microsoft Dynamics SL. For a very small company, a solution like QuickBooks might be the way to go, but only if you do not need tight audit controls. You also have to really know what you're doing or have an accountant that's easily reachable since the system will allow you to do things that a true accounting system would not. For a larger company, or someone that is looking for a system that integrates well with other systems, or a system that will be used by multiple departments, I would suggest looking into an ERP system or a suite of systems that are all run on the same platform

Pros

  • Flexibility. ABAS is fully customizable. This allows us to create a work environment that is as custom as we are. Some ERP software packages force you to adopt their methods. With ABAS we can build the system the way we want it to work.
  • Adaptable. ABAS has the ability to work with other software packages and provide a seamless connection. We use Solid Works for our engineering designs. ABAS is connected to Solid Works and this eliminates transfer errors while reducing the time it takes for engineers to load bills of material.
  • Service. ABAS has well-trained service technicians. The time it takes to get a response is minimal and the network of knowledge their support group has, helps to streamline any tasks we may present or questions we may have.

  • Project accounting is linked to the Financial modules - there is no need to duplicate data entry. Reporting in Project Modules is extensive.
  • Validation of fields for data entry and solid integrity of data.
  • Customizations of screens for data entry for users and addition of fields.

Cons

  • ABAS is headquartered in Germany with a US based headquarters in Virginia. Some of the programming structures were based on European methods that differed somewhat from the way business is done in the US. ABAS-USA has worked to modify the system so that it is in tune with US business practices and has made great strides in this effort. For the average user, the structures may go unnoticed, but for the more advanced user, some of the field names that are used for advanced reporting might be in German. However, ABAS-USA has recently been updating the programming language to be fully in English.
  • Because ABAS is growing rapidly, more complex customizations might take longer to complete than normal. ABAS appears to be bringing on even more technicians to handle the increased workload so the concern is waning.
Josh Schroeder profile photo
  • Purchasing does not have a budget validation to warn or stop a purchase from going over budget on a project level.
  • Project budgeting does not have an interface with inventory ids.
  • Financial modules could have more quick vewing screens for example a quick way to find the check no. of an invoice.

Dynamics SL requires very little maintenance for us in part because we set it up correctly and partly because we stay current with the releases. We have a lot of Dynamics SL experience on staff so if anything bad were to happen we could fix it right away. Fortunately this has not happen in a long time. Microsoft has improved the testing process on this product so that service packs and new version are cleaner.

I rate it a 10 because we have removed the fields we don't need so users can really crank the data into the system. The software was designed for the professional services firm in mind but does a tremendous job for construction firms and "blended" companies that are both distribution firms but project centric as well. Perhaps they drop ship inventory to a project where their employees or subs need to work on a project for example.

We have had only one unplanned outage for 2 hours in the last 30 months. We shut down for 30 min to 1 hour once a month, but that is for Microsoft OS updates to the servers. Being a 24/7 world wide operation, the reliability is really important. We do get an 8 hour window on the weekend that we can be down for a short period to install Microsoft Dynamics SL updates, but we do not have many of those. On our last version upgrade, we shut the users out at 9:30 am and were fully operational in less than 6 hours. The upgrade was New SQL server, New SL server and 2 new Citrix servers.

Just to let it take its course. The implementation for me once I became a part of my former organization was pretty seamless. Just get to know the basics and call the support team to ask questions if you need help on an issue, should they arise. They are ready, willing, and able to help!

Alternatives Considered

These other software packages all have strengths but for what we were looking for in one system, to handle most of our business processes, but also allow the flexibility to be customized (without the need to be placed on a "like to have" waiting list), ABAS gave us that ability, hands down.
Josh Schroeder profile photo
SL is lacking in various places for a direct sales type of company plan. Currently, we are looking into other options and have decided on Microsoft Dynamics AX as a solution. The move to AX will allow us to keep ordering in one system instead of two (right now we are forcing SL and another program to speak to each other = Giant mess), and it will also be a better springboard for getting us into a mobile app position with our consultants. Unfortunately, years of SL in this environment has not proven to be a good solution at this time, and we are moving in a different direction

Return on Investment

  • ABAS has the capability to handle many of the processes that we did on various software platforms. Since we've been able to consolidate these platforms, the cost of subscriptions, maintenance and management hasve been reduced.
  • Efficiency was a noticeable impact right from the start. In the past, reports from one system had to be loaded into another in order to provide the analysis needed for business decisions. Connections to our design software also reduced the amount of time our engineers spent manually creating bills of material and purchase requisitions.
  • The ability to see what's happening in various business functions all in one place has helped with decision making and provided the data necessary to ask the right questions when arriving at those hard decisions.

  • Increased employee efficiency. While using this program, I was able to complete payments to factories pretty seamlessly. I just had to select the invoice that was getting paid, and include it in the batch for payment.
  • Better customer service. I was able to better communicate with factories what was owed to them and why by entering the debit or credit notes and adding them to the batch to submit for payment.
