Use Cases and Deployment Scope

We used Aventri to create a registration website for a conference which doubled as a mobile app so members could get the most important information they needed to know without having to ask our staff questions. We wanted a clean and simple website with four pages, and we were able to update it with important information (especially COVID-related updates). Previously we used a completely different company to create an app for the event but decided to try Aventri for almost every aspect the past year.

  • Creates a clean and professional registration page
  • Easy for the client to use
  • Help was readily available

Cons

  • Registration on the backend was confusing
  • Sometimes the code would break and take a while to fix (adding images, extra text)
  • Not intuitive for users

Likelihood to Recommend

I believe Aventri has a big learning curve, so if you are short on time, I would recommend hiring someone who already has experience. We had a few months, but making changes took a while because only two staff members had time to figure out and learn the system. I don't think the website is very user-friendly, but I don't think it's so hard that the average worker cannot learn it. We happened to be short on time so learning the system was an added stress that would not normally be there.

We used it as an event management system for our annual conference. We used the abstracts, registration, survey, and other modules. Aventri really helped me organize our event and manage payments, registration information, speaker details, etc.

  • Eblast function

Cons

  • Abstracts module doesn't "talk" to registration module
  • Eblasts can sometimes be finicky and send twice
  • Report functionality isn't always consistent

Likelihood to Recommend

- Great for event management and collecting attendee information

- Helpful for rating RFPs and selecting speakers/workshops

- If you need to migrate information in abstracts over to registration, this isn't the tool for you because there are a LOT of workarounds

- Survey module is very good

- Eblast module is helpful but can sometimes act up and send eblasts twice

We use Aventri for all our registration needs. We are a third-party event firm that uses the platform over a wide variety of clients in a number of different industries. We generally just use the registration platform but have used their lead retrieval, venue sourcing, website, mobile app, and expo platform.

Likelihood to Recommend

Aventri is fantastic for general registration needs. Their customer support is fantastic, and they have been amazing at providing a consistent account manager who understands our business and client needs. They have been flexible enough for us to use their services over a wide variety of clients and events. The biggest issue is if you have a client who has extremely specific design requests, the platform is just not able to handle without bringing in their backend development team.

Aventri is being used by my meetings department to handle the registration process for those attending our conference. It has become a one-stop-shop for attendees to register and pay for the conference as well as book their hotel rooms (from an attached link). It allows us to also create the conference web-page with all the information in addition to registration. We also use it to create our meeting space layouts and logistics specifications for the conference.

Pros

  • User-friendly.
  • Mobile app syncs right from database, so no double work.

Cons

  • Mobile app does not allow for video advertisements.
  • The day the event is scheduled to be over in Aventri it clears from your list and it makes getting reporting and analytics difficult after the event is over.

Likelihood to Recommend

Aventri is extremely user-friendly. It is suited very well for associations or corporations that have many different registration types and prices, as it is easy to create all those pathways for attendees to take. The mobile app feature is amazing. It pulls all the data from people's registrations into the app, as well as the meeting information we create. All you have to do is design the look of the app basically. Huge improvement from when I had a separate app company and had to do all the double work in Aventri and then the separate app company. The only area I think it is less than stellar is again with the post-event reporting. It makes it rather difficult to gather mobile app analytics and reporting after the event as ended.

We manage associations and their annual conferences. We have three clients using it. One client has an annual event with 300 separate sessions for which registration is required, ranging from a class size of 1 to unlimited. eTouches handles this complex program very easily.

When we are required to do rooming lists or manage speakers' travel, the travel module is exceptionally helpful.

Pros

  • Manages class size limits very well.
  • Provides information for hotel booking and transfers so that all this information is in one record.
  • Unlimited number of pages for the website is invaluable - we looked at other programs with only 4 pages for the website and that just isn't enough for our clients.

Cons

  • The transition to the new platform has taken some time to get everything functional, but they are working on it and update us regularly.
  • Reporting has vastly improved!
  • eSeating uses Flash which doesn't work on iPads... this can be a problem.

Likelihood to Recommend

This is very useful for a program with complicated individual session choices, seating for a banquet, managing rooming lists, and travel. If you have a very simple registration system, eTouches might be too robust for your needs.

We began using eTouches as our online event management platform last year after our previous provider folded. The service eTouches provides is significantly more robust and user friendly. Its primary use is as an online registration service for the multiple events we run throughout each year. Additionally, we use it as emailing service for contacting our 1,500 members with newsletters and event announcements.

Pros

  • The response time of support requests is exceptional. While they have not been able to solve every issue, they are very thorough and followup regularly.
  • The availability of optional robust modules that you can choose whether or not to implement is excellent. For instance, the eSurvey module made post event evaluations significantly better than past attempts.
  • The ability to assign multiple levels of users to view event reports is a big help.

Cons

  • We have run into some email servers putting eTouches sent emails in spam folders. The placement has come from the server end, not the user end. This has resulted in missing survey responses.
  • The ability to customize registrant categories would significantly help in evaluation completions.
  • [I would like] A clear answer as to how many emails are allowed per registration.

Likelihood to Recommend

eTouches seems to be well positioned to serve those needing event registration for small groups up to large conventions. Events with multiple sessions are very well organized and allows the planners to monitor registration and attendance with ease. One issue we have run into is the ability to give a discount to a specific registrant who signs up a group of individuals. We continue to work for a solution to this.
