Use Cases and Deployment Scope

We use Metastorm across several departments in our organization. It is a great tool for automating tasks and streamlining workflows. Other people within our company use Metastorm to map business processes as well as to identify the impact of business process changes with IT systems. It is also helpful for the process of workflow creation.

Pros

Integration into third party applications
Rapid Development; allows developers to quickly build and/or change workflows
Powerful user interface design
High degree of scalability

Cons

Lack of a graphical user interface email editor
Auto creation of later activities in model viewer would be nice in order to quickly generate outcome scenarios
Built-in reporting is somewhat limited

Likelihood to Recommend

Metastorm is well-suited for scenarios in which internal stress testing an application is needed in a hurry before showcasing it to potential customers. It supports different views of the process from Swimlane perspective, so different methodologies can be handled. It is an Enterprise level tool and handles both small and large projects quite well, although smaller companies may be stressed out by the amount of time it takes to properly maintain the application.

Use Cases and Deployment Scope

Everyone uses Metastorm on a daily basis. We do this to develop applications for resale and by using it internally to stress test these applications. We use it to front CRM information, hold client configuration information, workflow support tickets, and are developing opportunity management and project management applications. We currently have 7.6 and 9.3 installed as some of our clients are still using older versions.

Pros

Complex routing of tasks based on calculated criteria
Linking between tasks and accessing relevant information
Organising, scheduling and prioritising
Different views for different people

Cons

The integration with Office.
Reporting - the functionality is quite limited. Of course, we can use SSRS on the database but better-embedded reporting would be good.
Using the eRaiseFlag functionality (getting one folder or workflow to influence another) can be slow on a busy system.

Likelihood to Recommend

Good - Decision branching, Access to multiple external data sources, Prioritisation of user tasks, Keeping documents with workflows, and Ease of development and speed to make it live.

Less Good - Forms with lots of dependencies between the fields and Troubleshooting in some instances.

Poor - Ability to act as a repository for template forms and Reporting.

Use Cases and Deployment Scope

OpenText MBPM was used for mapping business processes. It was used to identify and quantify the impact of business process change alternatives and connected business capabilities with IT systems.

Pros

Diagnoses and highlights errors and inconsistencies for correction based on BPMN standards.
Support different views of the process from Swimlane perspective, system interactions, process to process dependency, process to attributes, process to rules.
Able to publish processes per custom defined templates or formats on the fly.
Changes to a common element are automatically made to every use of that element on all diagrams (insert, update, delete).

Cons

Be able to perform a Google type search as a user type name in text field.
Auto creation of next activities in model viewer to quickly generate happy path scenario.
Community Collaboration - Support of external process participants (ex: business partners) that have limited or no IT infrastructure, social process communities such as Salesforce.

Likelihood to Recommend

OpenText MBPM is well suited for rapid application development where process workflows are well designed in a detailed environment. A servicing organization could benefit from being able to manage and design complex case management processes and applications. It is not suited for the automotive industry where complex custom engineering processes exist within product engineering (vehicle) and manufacturing plants.

Metastorm is used across our organization for business process management and workflow creation.

Pros

Ability to customize workflows
Integration into third party applications
Ability to use both a GUI and code-based interface to create business processes

Cons

This is a difficult question to answer as I've only had experience with a dated version of Metastorm
The newest version may have features that remedy issues I have experienced with 7.5

Likelihood to Recommend

I think Metastorm could be a useful tool, but there are other [business process management] options that better fit the needs within our organization.

Use Cases and Deployment Scope

Metastorm has found wide acceptance in our organization streamlining workflows and automating tasks. We use it across many departments, and are continually designing new processes. It is uncommon for a week to go by where I am not approached by someone with an idea about how Metastorm can improve their work experience.

Pros

Rapid Development: Metastorm is designed to allow developers to quickly build (or change) workflows. Business Logic, rules and regulations change quickly in today's world and being agile about software changes keeps users productive and engaged.
Customization: While Metastorm provides many pre-built controls useful during rapid development cycles, it also provides a rich .NET framework which can be used to customize the experience. This provides a nice balance between ease of development and detailed customization.
Flexibility: I've evaluated many workflow solutions, and most are restrictive in form design or branching options. Metastorm closely approaches a true state machine architecture allowing for complex workflows and rich user interfaces.

Cons

The Metastorm process engine is based on an older version of .NET. Updating to a newer version would resolve several known issues with .NET email functionality.
Metastorm builds web pages at run time. While the UI presented to the end user is fine, the Document Object Model is convoluted and subject to change with new releases. Providing a more simplified DOM or at very least a custom function to replace document.getElementById() would make client-side scripting a much more powerful tool.
One function that I've seen Metastorm competitors do well, is email wizards. Having a WYSIWYG email editor would be really nice.

Likelihood to Recommend

Metastorm is an Enterprise level tool. While it can perform well in both small and large projects the setup and maintenance may make the product feel unwieldy or too expensive for small companies. Also, every workflow provider in the market will tell you how their product eliminates the need for a software developer. That's simply not true. Think about your resources, and consider hiring a consultant if necessary.
