RFPIO Makes Proposal Managers' Lives Easier Every Day

Use Cases and Deployment Scope

Responsive is our primary response management tool for multiple divisions. We use it for both project management and content management. Responsive allows us to respond to RFPs, RFIs, and security questionnaires, collaborate across departments, and accurately track project progress. Responsive's content management capabilities allow us to split our content and only see things that are relevant to the division we work in, as well as manage a set of content applicable to all users. Responsive saves time on multiple fronts, and routinely allows additional internal and external resources to jump into a project without extensive training for collaboration and additional support.

Pros

  • Makes it easy to respond to RFPs, RFIs, etc. and security questionnaires.
  • Manage response content, check with content owners, and regularly review to ensure accuracy
  • Allows for team members to collaborate across departments, divisions, and locations - seamlessly

Cons

  • Honestly, there are very few things I would criticize Responsive for. They are always seeking feedback and suggestions for changes and improvements, and then making them.

Return on Investment

  • Greater ability to leverage data across divisions
  • Faster response times for RFXs
  • Clearer view of all active projects
  • Stronger content library with more accurate content

Responding to RFX and central repository

Pros

  • Logging projects for MI reporting
  • central repository is a huge bonus for the wider business, i.e., those who are not responding to RFX, who utilise as a knowledge base, saving RFX responders and SMEs email traffic

Cons

  • AI integration in the basic subscription, i.e., not to be charged as an addition
  • upload new content in bulk feels bulky - I can't offer a suggestion though!

Return on Investment

  • time and effort saving
  • non-RFX colleagues are impressed with the tool when introduced, and keen for access

Responsive works for our proposal team

Use Cases and Deployment Scope

Responsive is our database to house answers related to RFPs and security questionnaires. We've used Loopio in the past and Responsive is much more powerful in terms of tracking all the meta data and now allowing us to use AI to help craft new responses. The review cycles help us keep content up to date and features like de-duplication allow us to avoid redundancies in content.

Pros

  • Find similar answers
  • Find content that is duplicate or not assigned an owner
  • Track changes to content
  • Collaborate with others through comments

Cons

  • Review cycles don't allow you to notify people in advance of due date.
  • Merging similar and duplicate entries doesn't always capture meta data like use count or comments.

Return on Investment

  • Library Health Dashboard is helpful in reducing time to clean up content but could use additional improvement by showing more granular data instead of a global assessment like good, poor, moderate.
  • ROI is reduced for us because of additional cost for using AI
  • Overall, Responsive has significantly improved our proposal process.

Responsive user review.

Use Cases and Deployment Scope

For proposal management, customer questionnaires, vendor onboarding, due diligence requests, security requests, etc.

Pros

  • Grammar, quality check.
  • AI draft.
  • AI assistance.

Cons

  • The configuration of projects and the automatic mapping of sections can be improved. Now it's only recognising the standard sections.
  • Googledoc/Word-like view within the project, which will be very useful. Now, the interface takes users time to get used to.
  • When you add a Question/answer pair to the library/save from the project, the system should prompt a message saying we already have something similar saved in the library, if there is, and that it is repetitive. Now it's a more manual process to double-check if the new QA pair isn't repetitive.

Return on Investment

  • Time savings overall.
  • One stop shop for all our product related queries for sales.
