SAP Business One is being used in our organisation as a ERP. It not only helped us streamline various business processes like accounts, purchase, and inventory but also helped us improve productivity. It helped us combine all our key business functions into single system. It comes with advanced reporting features that provides you deep insights into sales patterns, financial health, inventory levels, etc. Its advanced Inventory management feature provides you real-time visibility on inventory, offers multi-warehouse management and batch level inventory tracking, etc.

I use SAP Business One to make quotations for my customers and to follow-up the sales process since the first contact until the closing of the business, and also to manage the warehouse inventory, and billing process, so it is an important part of our daily workflow.

  • The format of quotation file is kind of limited , it should allow more customization to deliver more complete commercial proposals

Using it for handling the goods receipt and accounts payable for all the goods that are inwarded into the warehouse. SAP B1 is linked to our inward tool such that as soon as a new item is inwarded it is automatically posted to the GRPO wizard and as soon as the GRPO wizard is completed it is posted into the accounts payable wizard for completing the AP process so that the invoices can be processes and payments can be received on time.Extremely essential for systematic processing of invoices by validating inward goods entry .

Pros

  • The ingerface is very clean with essential menus only .
  • The user interface is pretty fast and completes transactions without errors
  • Very good at handling high volume of transaction items
  • Also supports maintaining master data for all goods

Cons

  • There are occasional failure of certain GRPO transactions maybe 1 in a a 1000 .

SAP business one is essential in manufacturing environments where there are a large number of goods being inwarded and the goods trasactions needs to be systematically proceesd and all financial transactions sucha as invoice value ,Accounts payable/receivable needs to be recorded which is essential during audits as well as for compliance

We are a 3PL company, and we use it to manage inventory for all our clients. We also use it for purchasing, billing, accounting, HR, CRM, etc.

Pros

  • It has helped us to increase our work efficiency.
  • It has helped us to maintain inventory and accounting accuracy.
  • It has helped us to streamline business processes.

Cons

  • Report customization is quite difficult.
  • On-premises implementation requires higher-end server configuration for smooth working.
  • For additional add-ons you have to depend on SAP partners.

Likelihood to Recommend

In my experience, it is well suited for small and medium-scale companies. For 3PL companies, it is one of the best ERP solutions.

I have worked as a consultant, Quality Assurance Engineer and Application Developer supporting clients running their business on SAP Business One. SAP Business One was a fantastic mature replacement for legacy systems especially systems that were 20+ years old. SAP Business One helps assist companies develop a one source of truth for their data and consolidates information into a singular database for inventory, accounting, and sales. It eliminates double data entry, improves communication between departments and users, and ensures accurate customer interactions. I have worked on implementing and supporting SAP Business One for 5 users up to 200 users.

Pros

  • Accounting and Finance reporting

  • On the Fly Customization
  • Data Architecture
  • Customer Management
  • Alerts and Approvals

Cons

  • Their Web based client has not seen great adoption and has limitation compared to the local GUI
  • Upgrades - can be long and painful. Especially if you have addons
  • Data Transfer Workbench could use an update.
  • System Performance can be questionable. SAP Business One runs on a SQL database but their are instances were all users are feeling a slowdown and it can be difficult to track the culprit.
  • Mobile Apps are not solid and difficult to install and configure
  • No out of the box Credit Card processing. Requires Addon

Likelihood to Recommend

SAP Business One does particularly well with distribution companies as well as small scale manufacturing businesses. It is robust enough to service a wide range of businesses and can be customized to meet specific needs. Companies up to 100 users would find a solid footing in SAP Business One especially if they have standard processes established before implementing.

SAP Business One does have a very open architecture and can be customized with developers. Many needs can be met with custom development.

I would not recommend for larger companies or those with heavy manufacturing needs. There are addons to accommodate but specific needs but those can come with heavy overhead to implement and support. Additionally, if you perform a lot of service based work SAP Business One's mobile capabilities might be insufficient without custom development.

We use SAP Business One to run our 5 companies. The MRP module is one of the most important ones because it stores our projections and makes calculations which help us decide when to buy and in what quantities so that we get our inventory in time without ordering wrong quantities and in the correct time frames.

We then use EDI to import our Sales Orders directly from our customers, this saves time and avoids errors. Additionally the SO gets created with the correct prices and if there is a difference the SO gets crated with an unapproved status.

We then easily copy the sales order to a purchase order. PO's go through an approval process in SAP. Once the merchandise arrives we receive it into our different warehouses and easily transfer between them.

We then copy the SO to a delivery document and finally to an invoice. The accounting dept. inputs incoming payments from our customers and outgoing payments to our vendors.

  • easily copy from one document type to the other while keeping them linked to each other

Cons

  • more reports which are common would be useful such as sales by category
  • an easier way for users to edit reports
  • better and easier dashboard tools

SAP Business One would be more useful if it contained tools to acommodate the growing need of online sales. A more complete shipping module which handles tracking numbers with the common couriers would be great.

A built in warehouse management system would be great designed to be used with barcode scanners

Due to a spin-off, last year our company was faced with the decision of which ERP to use. In the previous years, we were using SAP R/3. We chose SAP Business One because is more suitable for small and medium scale enterprises (like us) where the business processes are more flexible. Moreover, we were looking for a cost-effective solution whereas R/3 is meant for large scale enterprises having multi-country locations and where budget is not much

of a concern.

SAP Business One does not have all the functionalities as that of R/3 but the functionality list is slowly increasing.<div>Regarding the implementations and consultant's skills, the SAP Business One consultants are

certified in all the modules. In SAP ECC, the consultants are certified in one or two, so the teams needs much more consultants in SAP Business One. At the end, we decided to move to SAP Business One.</div>

  • SAP Business One has exceptional performance in handling business functions such as purchasing and operations and customer relationship management

  • The Firefox web browser is currently the only web browser supported.
  • Multi-currency capabilities- SAP Business One only does the real-time conversion at a period closing, but can simulate an approximation of the conversion for mid-period reports.
  • Ancillary system applications such as HR have pared-down feature sets

SAP Business One is one of the best business management software available in the market. SAP Business One can be used to manage the various business areas such as inventory and warehousing, purchasing decisions, sales processes, customer relationship management, service management, project management and financial management. SAP Business One enable to visualize the insight from the business operation in real time and improves in better business decisions making. It is a robust enterprise system and the major business processes are supported for most of the organizations. The limitation of Human resources module of SAP Business One needs to consider for all human capital management functionalities to be performed on a single system without interfacing with the other systems.

SAP a powerfull system that can create good automations for your warehouse! But it will come with a cost!

We used [SAP Business One] as 1 of the tools to pick for accounting. SAP business was 1 of the tools in our selection process. SAP is great for complex operations and can connected to many other systems to automate global orders, accounts, purchases and project management.

So for complex rules, and bigger companies this is a great tool to implement because of the freedom you have. Or does it?

Pros

  • Inventory management
  • Automations with other systems
  • Reporting (i mean you can report everything)

Cons

  • Price... For us it's more a enterprise solutions modules, users etc ramp up the price FAST
  • Learning curve, prepare to train your people!
  • Report building is simple, and needs a upgrade (still it's flexible!)

Likelihood to Recommend

Like i said for complex implementations and use with other systems SAP [Business One] is great. You can create automatic warehousing if you want with this system as it base. We used it to integrate CRM systems with the production orders to make a seamless automated order process from purchase to warehouse to costumer. And it works great!

But with this it will cost you for implementing and get it to run, next to the training of people to use the system. So again for big companies i would suggest SAP [Business One], but for smaller ones and even mid... There might be better and cheaper options for your needs!
