We use Submittable to take applications for fellowships and programs. We also use it for processing forms, surveys, and other various RSVPs.

Pros

  • allows an applicant to save an application that is in process
  • connects recommendations directly to the specific application
  • ease of uploading recommendations for recommenders

Cons

  • Would like to see the ability to have management edit an application on the backend, as applicants sometimes make mistakes and want us to fix them.
  • Needs a better way to edit a problem with a recommender's email address on an application. Currently, the only way is to open a submitted application for editing, which is not ideal after the deadline has passed.

Our Foundation uses Submittable to manage our grant administration processes for two external grant programs (and one internal program for our employees). Before using Submittable, our application process was manual, with a high administrative and IT support burden. Since making the switch to this platform, our efficiency has increased significantly.

Pros

  • Easy to use! Resulting in confidence and independence when using platform.
  • Exporting reports to Excel files makes internal data sharing a breeze.
  • Tech support for grantees frees administrators from resolving issues on their own.
  • Automatic and customizable communications with applicants and grantees.

Cons

  • I'd like to see applications that are in process but not complete.

  • Time is money! Submittable has eliminated many tasks I used to do manually, thus freeing my time for other work.
  • Decreased support calls and emails from applicants- Our applicants are able to successfully access and apply for our grants.
  • No internal IT support needed to use this platform. That team is able to focus on their larger business projects and needs.

We use it for multiple things: grant application submissions, our state film incentive applications, and reporting needs. There are multiple grants opportunities and it keeps track of them in different folders, so it's easy to keep up with what we have going on and how many people have jumped in.

I used Submittable to manage a portfolio of grant programs and projects that are used to fund innovative programming across Tennessee. These projects are focused on increasing student success and enhancing innovative practices in higher education. The projects have varying terms, objectives, scopes, and funding amounts. The Submittable platform allows for management, review, tracking, and archiving of these projects.

  • Quest to update and provide the best experience.
  • Attentiveness to my perspective as a customer.
  • Ease of use and easy to adopt/learn the system.

Cons

  • Allowing of sharing of project across users.
  • The internal role differentiation could be more robust.
  • Changing/updating original submissions are not as intuitive as initial creation.

Submittable is your communication savior!

Use Cases and Deployment Scope

We use Submittable to run grant projects with funding provided by our corporate sponsors. We needed a platform to distribute over $2m in funds in 2021, and Submittable was secure, organized, and easy to use for our needs. We wanted to have reviews be fair and impartial by concealing specific applicant information and having applicants submit forms to submittable instead of emailing our team repeatedly helped us orchestrate the grants seamlessly.

Pros

  • List sorting of winners/labeled groups.
  • Ease of application creation/question creation.
  • Template building for quick responses to applicants.

Cons

  • Labels shouldn't be an option for all reviewers, we had a reviewer for our Florida applicants create labels like "1" "2" "3" which confused my reviewers in California.
  • Running reports across multiple grant projects is tedious and clumsy. Our grant project had 15 regions but it was the same application, we had to compare applications across regions, but could only have a set amount of winners for each area. It would've been easier to create 1 application and 1 opportunity but have filters for the # of applications for each region instead of creating 15 separate applications.
  • Reviewers also found the review forms difficult. There should be an easier way to run a report on their pending reviews in an excel format, or just a better functionality to review. Even with onboarding, our reviewers were confused and didn't use the review function.

Return on Investment

  • Submittable allowed us to run a $2m nationwide grant project with only two team members. We wouldn't have been able to successfully run the grant application without Submittable building an infrastructure for success.
  • We were able to respond to every applicant's question within 24 hours because of Submittable's easy-to-use email templates.
  • Our applicants could immediately see if their application had been submitted or not without us having to use any employee time to send manual updates.
