Use Cases and Deployment Scope

We use S2K Enterprise throughout our organization. For customer orders we use S2K eCommerce for the customer facing website and we manually enter orders as needed in S2K Enterprise. Order fulfillment, (picking and shipping) is through the appropriate S2K modules. We use the WMS (warehouse management system) to manage inventory in our warehouses. We create POs, receive them and verify them within S2K. We use the manufacturing module for the products we build in-house. We use S2K Marketing Cloud to handle e-mail marketing to our customers. Finally, S2K Analytics helps us sort through all the data.

Pros

Cons

  • Payments options on customer orders. i.e. cancel a payment, update a payment to fix a typo, select which payment to refund on a return.
  • Consistent naming of fields. i.e. "Order Total" and "Balance Due" are sometimes used interchangeably but those are two different values that can in some cases be the same value.
  • Address fields - it would be nice if they were updated to support longer lengths as they are often too short. Also to integrate address verification tools to help make sure addresses are valid.

  • Suggested Purchasing and Forecasting helped us reduce our inventory overhead by over a million dollars. That frees up cash to make general operations smoother.
  • Warehouse management (WMS) was a great cost savings. It has helped make the warehouse team more productive and reduced picking/shipping errors. I believe our estimate was the ROI for adding WMS was going to be within 24 months. It turned out to be under 12 months.
  • S2K Mobile Order Entry - when we travel to trade shows there were times we needed to process hundreds of customer orders in short windows of time. Our old system would average 8-10 minutes for entry of an order. The customer lines were long. We had 2 or 3 stations at a trade show and were considering adding more. When we switched to S2K Mobile Order Entry the average entry time dropped to 2-3 minutes, the entire process was better. Before customers would leave because of the lines, they didn't have time to wait. With S2K Mobile there was rarely a line.
  • Before we started with S2K we had many disconnected systems and it required us to rekey data many times. One of our first goals was to integrate customer orders, inventory, purchasing, payables, and fulfillment into one system. S2K was a wonderful fit for this and allowed us to reduce the redundant work that was prone to errors. Saved us both time and money.

  • Process inbound EDI purchase orders.
  • Receive and put away product in the warehouse.
  • Run numerous reports giving data points to essentially teams.

Cons

  • Each item that cross-references/interchanges needs to be uploaded by customer accounts, but it would be beneficial to upload cross-references for a customer group and then assign that "library" to each account, so 1 upload could work for numerous customers.

We use S2k (VAI ERP) as our enterprise solution. It is in our warehouse operations, retail ,field sales, purchasing, e_commerce and finance. S2k (VAI ERP) has solutions to efficiency problems, accountability, data integrity and availability.

Pros

  • Proof of delivery automatically adds signature and delivery confirmation to the system.
  • AP processing, ACH send payment notification directly to vendor.
  • Track returns at pos so that only what was invoiced can be returned.
  • Automatic entry to retained earnings allowing TB to be run in full

Cons

  • Mobile check out/kiosk. This can be done by leveraging the current mobile OE
  • Sell multiple gift card by selling a range of numbers in the same denomination
  • Allow the creation of accounting Master group so as to get financial reports that best fit our environment/region

  • This has improved our efficiency, cutting our order fullfillment time by 50%
  • It has placed data in the hand of decision makers impacting the way be buy and what we buy.

Use Cases and Deployment Scope

We use the ERP for to run our manufacturing operations and financial operations domestically, and we use the full ERP suite in our international manufacturing operations. We have multiple product lines that have different types operations to produce them. We are able to track component usage, labor and efficiency for each of our product lines. We use the Financial suite for running our business.

Pros

  • Raw Material tracking and consumption
  • Managing Bills of Materials and Routings
  • Managing AR and AP functions
  • Financial reporting

Cons

  • When you create an engineering BOM you can't attach routings to it
  • Some settings are global versus at the production department level
  • Outside Operations / Sub Contractor process are clunky and somewhat disconnected from other modules.

Return on Investment

  • We took our international financial operations from manual reconciliations to system reducing our time to close by multiple days
  • We have better visibility now over our operations now that we have implemented VAI in our international manufacturing facilities

We use the VAI S2K ERP system with the Enterprise, Smart Center, Mobile, E-Commerce and Analytics modules. The system is used for everything from demand planning to receiving and shipping. We also us the GL, AP, AR, and Order Intake functionality. The mobile and ecommerce modules allow our customers and Sales Reps to place orders 24/7

  • Reporting - can sometimes be difficult to tailor the reports to what you want
  • Smart Center- A lot of generic KPI's but difficult to customize for specific business requirements

Return on Investment

  • Mostly positive, we made the mistake of heavily modifying it before going live and now many support issues are billable because they are mods. We should have tried to stay as close to base as possible and only changed what we couldnt adapt to use
