Overall Satisfaction with Act! CRM

We use Act! CRM for several of our business functions. Not only is it a traditional contact CRM, we also utilize the Opportunities module to track new and potential business opportunities. Additionally, we use Act! CRM to generate our proposal documents utilizing Word templates. Finally, as a separate database, we use Act! CRM to track and record our current and closed projects.

Pros

  • Provides plenty of storage to add nearly an infinite number of contacts and information.
  • Makes it easy to see new added information.
  • Let's you customize the field names and add new ones to fit your business.

Cons

  • The auto saving function is not great. It means a simple slip or mistype can change an entire record easily.
  • The reports are clunky and if you've changed the field names, that doesn't get reflected in the reports.
  • The interface is still clunky. It is hard to see all the information for a contact all in one place. It gets broken up too much.
  • The product makes it possible to generate our proposals and thus get new business.
  • The annual subscription is very expensive, as is any support.
  • There is not much information available online about Act! CRM and how to use it.
Act! CRM has a very clunky interface. It is unlike other programs, so there is a longer and higher learning curve. The fact that you can customize the fields is a positive, but the fact that it doesn't carry those changes forward is a negative. The program with its auto saving function makes it very easy for users to accidentally change and overwrite critical information.
Salesforce is very similar to Act! CRM, but was a more expensive option at the time of comparison. In hindsight, it might have been a better option for us in the long run.

Using Act! CRM

20 - These people are primarily Sales Manager, Project Managers, Group Managers and Division Managers. For us, these are the people in organization who write proposals and have direct client contact.
2 - There are two people in the company who are knowledgeable enough on ACT to act as in-house support. We have had training from a third party vendor. We also utilize Google and ACT's native help/question module.
  • Contact management
  • Proposal writing
  • Sales reports creation
  • It enabled us to customize the forms to make it the most usable for our business model
  • With a third party add-on, we are able to automatically generate important project information sheets for multi-departmental use utilizing both Contact and Opportunity information
  • Unknown. We have peaked with its usability to our organization.
Once our current subscription expires, we no longer plan to use ACT. We are moving to a more complete CRM system that allows us, as a project based service company, to track projects, contacts, time and employees all with one software program. ACT has very limited modules to integrate these functions and therefore is no longer a good fit for us.

Evaluating Act! CRM and Competitors

At the time we started using ACT (about 25 years ago) it was one of the only CRM programs. SalesForce was another option, but didn't meet our needs at the time. ACT allowed us to us it for the traditional contact management, as well as Opportunity (proposal) tracking. It also offered a number of easy to generate sales reports and tools that could be used for sales forecasting.
As this was the best option at the time, we would not change it.
