Bill Spend & Expense, a Solid Choice for Expense Management
Overall Satisfaction with BILL Spend & Expense
We use it for employee credit cards at all of our organizations. It works / syncs with our accounting software (Sage Intacct), and took us from processing credit card receipts being a roughly 6 person job to them being a 1 person job.
Pros
- App for maintaining and monitoring credit cards is easy to use and thorough
- Offers ability to send out reminders for receipts that need to be submitted
- Set up restrictions for the accounts and other parameters that employees can select from
- Various, unlimited approval flows for credit card receipts
Cons
- Rewards can be very hard to reach which takes away from the program overall
- Reminder notices aren't automatic to cardholders and you can't send reminders to approvers
- Only links upload into Sage Intacct for the receipts and transactions, not the physical receipts
- If you have multiple companies, you have to set everything up in each one individually
- Cardholders and Approvers with multiple locations have to access each individually
- Positive Point - Created much more consistently and offered more control over coding
- Positive Point - Saved 1,000's of manhours in our finance department chasing down credit card receipts every month
- Negative Point - Cost us on possible rewards / cash back compared to our previous solution
- Positive Point - Forced approval on receipts from managers
Bill Spend & Expense and Ramp are pretty comparable, but we ended up making the change to Ramp based on three factors:
1. The actual receipt or invoice uploads into Sage Intacct, so when reviewing financials, everything is in one place.
2. The cashback program was much simpler and a higher rate than what we were getting.
3. We were bringing our A/P processing into a cloud solution, and wanted to be able to have them on the same one as our credit cards. This fact, combined with point 1, and just a slightly different payment flexibility, made the difference for us.
Leaving out those points, which might not matter as much to someone else in a different situation, Bill Spend and Expense is a solid solution for anyone.
