We are a Sharp Business Equipment dealer, we use e-automate for everything in our business. I like it because it's all inclusive - AP, AR, Inventory, Contracts, Service, Payroll, Purchasing, Sales, Leases, Reports and more. I have been using e-automate for about 20 years now and find myself always learning new things that it can do. I like that I don't have to use multiple programs to function and that everything is within this program. Using e-automate has pretty much resolved any issues we had with running our business, it really does automate it.
Pros
- Dispatching Technicians to Service calls.
- Invoicing Service Contracts.
- It offers a wide variety of reports.
- I like the way I can create a sales order and right click and instantly create a purchase order for that sales order, and the process continues when I clear the PO, it releases the items on the Sales order for shipment.
- Keeping track of Equipment has never been easier.
Cons
- Over the years of using e-automate, the one thing I have been waiting for is a contract that allows a block of black and a block of color on the same contract - the work around is of course 2 contracts for this customer, which can be confusing, but after 20 years of doing it, its a pretty natural process.
- I would like to be able to customize a little more on my own instead of having to ask (and pay) to have the customizations done.
- The sales tax reports print out a little confusing for accountants, I have to manually add things for them so they don't misfile our sales tax reports.
- e-automate has helped us make a HUGE difference in our profit margin with service contracts, it also allows us to see what contracts are not profitable and take action to fix this.
- It has also helped us see just how much inventory goes to each customer and we have curbed the overstocking of supplies to customers that constantly request things they do not really need.
- Again with the service contracts - we have it set up to send us reports on those that are expiring by copies and/or date. These were often overlooked.
Contracts are the lifeline of our business, it's our constant revenue stream. I mentioned this before, but many contracts in the past have expired, or exceeded their included copies and just stopped billing without anyone noticing. We have e-automate configured how to alert us of these instances so we can act upon them prior to the lapse.
I love that this program literally does everything - I like that someone else can make changes and I instantly see them, that it keeps track of accountability for those working in the program. I like I can see everything that is going on in the business from one screen without having to jump to various programs to find out what our financials look like.
We are using the on premise version, which I prefer for a few reasons. One is the internet isn't infallible. I can work even when I have no internet without issues. We purchased the program so many years ago and have had an on premise server and have had very few issues with the program.
