We are a Sharp Business Equipment dealer, we use e-automate for everything in our business. I like it because it's all inclusive - AP, AR, Inventory, Contracts, Service, Payroll, Purchasing, Sales, Leases, Reports and more. I have been using e-automate for about 20 years now and find myself always learning new things that it can do. I like that I don't have to use multiple programs to function and that everything is within this program. Using e-automate has pretty much resolved any issues we had with running our business, it really does automate it.

Pros

  • Dispatching Technicians to Service calls.
  • Invoicing Service Contracts.
  • It offers a wide variety of reports.
  • I like the way I can create a sales order and right click and instantly create a purchase order for that sales order, and the process continues when I clear the PO, it releases the items on the Sales order for shipment.
  • Keeping track of Equipment has never been easier.

Cons

  • Over the years of using e-automate, the one thing I have been waiting for is a contract that allows a block of black and a block of color on the same contract - the work around is of course 2 contracts for this customer, which can be confusing, but after 20 years of doing it, its a pretty natural process.
  • I would like to be able to customize a little more on my own instead of having to ask (and pay) to have the customizations done.
  • The sales tax reports print out a little confusing for accountants, I have to manually add things for them so they don't misfile our sales tax reports.

Return on Investment

  • e-automate has helped us make a HUGE difference in our profit margin with service contracts, it also allows us to see what contracts are not profitable and take action to fix this.
  • It has also helped us see just how much inventory goes to each customer and we have curbed the overstocking of supplies to customers that constantly request things they do not really need.
  • Again with the service contracts - we have it set up to send us reports on those that are expiring by copies and/or date. These were often overlooked.

We worked with e-automate for all of our print clients and found it made it easier to see which contracts were providing the best ROI.

- Automate is also good from the sense that many MSP companies use it, so we can bring in employees from other companies that already understand how to use the system.

Pros

  • Allows you to see your most profitable printer contracts
  • Helps track inventory so techs don't make trips that are not needed
  • Streamlines billing for new deals and printer flows
  • Easy Classification for machines to help with the Billing Department
  • Scripting is all done with Powershell so technicians don't need to learn a new language.

Cons

  • Would not integrate will all of the third party applications we use
  • At times the service would go down when hosted from the cloud
  • Application started to run slowly when using multiple instances
  • Does not Integrate well with the Service Now ticketing system.

Return on Investment

  • We were able to see which printer contracts had a low ROI and cut them
  • Less extra trips for technicians to see if we have the correct printers in stock
  • Saved several hours per week for our billing department since everything is organized now.
  • Classifications are easy to set up depending on the position of the user for the billing department.

I started using e-automate over 10 years ago when I was working as a dispatcher with my company. At the time, we were not utilizing it completely. Slowly over time it has helped stream line so much the admin side of our organization. Things that I had to do each item individually are now done automatically. Meter requests, invoicing calls , contract management, reports and more - it's all made so much easier with e-automate. It helped with the time consuming and complex administration tasks.

E-automate Cloud houses and supports our ERP system. We currently use it for sales entry, invoicing, inventory, equipment and customer history detail, dispatching and, accounting purposes. The cloud solution enables simple integration with the e-automate mobile tech app. This allows our field technicians to real time, communication, location, service calls status, live inventory, and up to date information related to open tickets or tasks at hand.
