Use Cases and Deployment Scope

Our district utilizes PaperCut as a way of tracking all end-user printing costs and quantities. This has streamlined our ability to bill back to specific programs based on exact usage - and to put limits on excessive printing from users who have gone over their allotment for a specified time period.

Cons

Removing a deployed printer from PaperCut was quite the task when we had to do so recently - to setup as a standalone device for a remote location. Must use ROC tool to do so - do not just remove the application from the printer!

Return on Investment

Less IT time dedicated to printing issues, as it's the same interface and end-user experience across all Ricoh printers in our environment
External users/entities from the district can be appropriately billed back for their usage on our devices
Scan to folder destination settings located in one area - and not on each printer, individually.

Usability

We had some initial setup assistance from Metro Sales (our managed print services company). Once it's setup - it's pretty much foolproof. No issues that we have encountered and upgrades to the software are easy to install as well.

Alternatives Considered

PaperCut is our first central printing management software. So we haven't compared it to anything else.

Likelihood to Recommend

For environments that have multiple different departments or programs that would like to have printing costs tracked. The exact costs per page printed can be changed within the software - so exact costs can be calculated and billed back appropriately.

It also makes printer management easier as you can see toner levels and any issues the printer may have remotely without having to utilize the printers GUI at all.

Scan to folder/email options can be done on the admin side, so that it makes things easier for users.
