Overall Satisfaction with Projectplace

We use projectplace to manage our collaborative working activities, share resources, and plan our meetings and scheduling. The tool allows us to work most efficiently on documents we author together, allowing easy version management of documents and for sharing of hyperlinks to documents through email. The security of the tool allows us to electronically discuss work which we could not carry out within an email chain. We use it across our whole organisation, which is spread across five countries and three languages.
  • Easy management of documents, with versioning and commenting/sharing tools.
  • Can plan tasks and schedules for efficient working.
  • Straightforward user interface and easy to use once set up.
  • Excellent tools for online meetings with telephone dial-in integration.
  • Integrated well with email notifications.
  • Platform still reliant on Adobe Flash, which is now considered to be almost a legacy tool and doesn't work well on certain common web browsers (Google Chrome).
  • A recent update to the platform has made certain features (ability to provide descriptions related to file versions) restricted to administrators, rather than being available to all users.
  • Desktop integration tool can occasionally have problems (but usually functions well).

The workspaces align well with our working practices. We are a group of independent experts working together, but with a high level of autonomy and independence, so our daily schedules are often not well-aligned by nature. Projectplace allows us the flexibility we need to work well together, providing the tools we need to do work in a timely manner across multiple high-intensity projects with many overlapping deadlines. Unfortunately I have not used other tools with which I can compare Projectplace.
We do use projectplace to work both internally and to engage with our clients. By providing the clients with their own user accounts, they can engage with us through the tool we use to do our work. Within each project workspace we can segment the tools and information down by what we want to make visible to the customer, usually the planning and outputs, and what we want to be visible only to us, usually working drafts and internal resources. By using these tools are customers can work directly on the files and documents we provide to them, and if we update the file they will see the new version automatically, making things smoother for everyone.
  • Projectplace allows us to avoid a large number of those daily opportunities for confusion and/or loss of time related to emailing new file versions, having to integrate changes in multiple documents, or dealing with file management and data backups.
  • We can carry out conference calls and online meetings with a range of functionality beyond simple screen sharing in order to improve the effectiveness of our communication and time spent during meetings.
If you have an organisation or team where you are regularly sharing and working together on documents, and need to manage schedules, ProjectPlace lets you do that and much more in a single environment. The only downside is that multiple users cannot work simultaneously on a single document, editing together (a feature available in Google Docs/Google Drive), which would be really useful.
