Airtable

Many business processes can be improved with a collaborative relational database, but few know how to create and use one. It wasn't until I became aware of Airtable that we found a solution that allows us to implement the best features of a collaborative RDBMS with our staff who don't have any training. I had previously used Zoho Creator and found that it was difficult to onboard new users because of a steeper learning curve. The combination of a minimal learning curve and features make Airtable a win. I've already recommended it to colleagues at other universities who've started using it.

It's well suited for backups, temporary file sharing and long term storage. It's not well integrated like Google Drive or Dropbox.

Pros

  • Great user experience and minimal learning curve.   • Easy to share views and invite contributions via forms.
  • Blocks add significant functionality that would be hard to custom build.

  • FileDrop feature. This is an amazing functionality that increases collaboration among our team. People can drop files in a specific folder related to a project and we can keep it organized.
  • Mobile Apps for Android and iOS. The apps works pretty well and you can carry your files everywhere.
  • Regular and Instant Uploads - MediaFire checks for the exact same file in the cloud. If it finds it, the upload will be instant. Otherwise, it proceeds with regular upload.
  • Multiple Upload Types - Basic, Flash and HTML5

Cons

  • I'd really like to be able to link records or a view between bases within my workspace.
  • The form designer is not as featured as we're used to with Google Forms.
  • I'm using the Airtable Importer by Railsware to bring Airtable data into Google Sheets. Import from Google sheets would be a great feature.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

Airtable is a modern data management tool. It doesn't bring in baggage from when technology was restricted to your local hard drive like other spreadsheet and database software. I don't have to deal with version control or 100 different files...and then figure out how to share them...while making sure they were editable but not corruptible.

The listed alternative is very good but we prefer Mediafire as we feel it's much more of a simple website to use.

Return on Investment

  • I'm not sure this is really applicable for our uses, but I would say that it has been very helpful in clarifying the makeup of our archival collections, from description to scope. This helps with our internal research for performance reconstruction, promotion, and education. Externally, this allows us to more easily assist research requests and inquiries.

  • When we've had our BETA testing programs for our products, we initially at the start of our business used Mediafire to send our BETA version of our products. But now we don't use it as it isn't 100% secure. Mediafire is best suited for completely public files.
