Asana

In cooperation with another system to act as the brains, like our proprietary CMS, Asana can be a magnificent tool for gaining task-completion efficiency. There is maybe AskCow or one or two others that may rate as comparable, but Asana wears the crown as far as I'm concerned. I would and have recommended it to others to speed up their production efficiency. For most any other purpose, though, you kind of need to shoehorn things into tasks almost as a hack. It doesn't inherently work well for sales or development, mainly because there aren't any different types of views. The flexibility simply isn't there, but for its primary purpose you just can't go wrong.

We used it mostly for its functionality of handling ideas. We brainstormed almost everyday, and that was made much easier with Innovation Cloud.

Pros

  • Assigning deadlines to staff that you're working with directly to make sure they meet them in order to achieve success.
  • Making sure we know which team member has completed a project so we do not take on that project or have to wonder if it has been completed or not.
  • Keeping all projects organized so we meet deadlines and move quickly on to other tasks.

Cons

  • I think Asana could do a better job of touring new users through the functionality. It's not necessarily intuitive for when there is a button to do something or when you simply press Enter. You do see tooltips with hotkeys at the bottom of many pages, so that definitely helps.
  • One problem, and I'm not really sure if it's on Asana to fix this, but actually getting people to take the time to use any project management tool can be trying. Folks are already trying to get their work done and have their own pen-and-paper ToDo lists, or keep a running list in their email. So to get people to take the time to use this project management tool might take some convincing. However, I think once they start using it they'll find out how beneficial it can be.
  • One feature I guess I haven't seen is the ability to create a private ToDo list that only you can see. Allowing the user to privately add tasks and prioritize them without being open to the whole company/management.

The more familiar I become with Asana, the more it helps me with organization and task management. As I learn new functions and implement them in our organization, I become more and more committed to staying with Asana. Familiarity and proficiency have increased dramatically with time and use. I wouldn't want to start over with a different organizational, team collaboration software partly because of the learning curve with something new.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

We “beta” tested several softwares across our company. Asana was a great fit for our small corporate team. But when we rolled it out company wide, it didn’t stick. We eventually ended up using Airtable - which has worked out well for us.
