    The system it self and its functionality is great. Most screens and work flows are easy to understand and use without any training. Its usually obvious what the next step is for the user, e.g adding coding, review etc. The information shown to the user is also built in a good way and the overall "feel" of the system is among best in market. Some of the admin parts require Basware AP Automation help, even though you technically can do it yourself as admin, the documentation available is not enough to help you through it.

    Negotiatus is well suited for multi-location--many locations doing the same thing, such as a franchise model. However, if you really want to have tight control on costing, the reporting is not robust enough that, with scale, it would make more sense to bring this in house and create your own vendor relationships

    As a buyer in a manufacturing environment, it is possible to have a large amount of POs out to vendors all over the world. Using SourceDay the buyer is not following up on late POs or worrying about reviewing every confirmation email, SourceDay has all that managed for me. This software puts all the buyer's follow up actions in one folder and it takes minutes to complete the review. SourceDay isn't the best suited for an organization that writes one to two POs a month unless the organization plans to use all the modules. PO to Payment.

    • Consolidated invoicing--Negotiatus consolidates all invoices into one monthly invoice for us to pay by the 15th of the subsequent month.
    • General ledger mapping--products on the platform can be mapped to one or more entities or cost centers through a monthly consolidated file, which has great value when it comes to process efficiency.
    • Ease of use--the platform is fairly easy for both users and administrators. With many locations that are geographically dispersed, it allows us to manage purchasing without an excess training need.

    • SourceDay takes user suggestions and if they meet the greater good it will be implemented into the system. There was specific data a buyer needed to seem in the dashboard and SourceDay was able to create it.
    • SourceDay provides superior customer service. The outboarding team are able to bring Suppliers and Buyers into the system within a day. This team will go the extra mile to set up one on one training if requested.

    • There needs to be an easier way to view past invoices as the current method requires that you select from the pull-down menu each and every time
    • Instructions for the more commonly used features should be available within the program itself rather than having to search the online help index in order to find this information (bubble pop ups would be nice)
    • More functionality should be build into the invoice processing system (you should be able to forward via email, include screenshots, etc)

    • Communicating Savings: Negotiatus sells itself on its vendor network--the ability to search for the best possible price according to what is available. However, it is challenging to tell what that savings would have been (e.g., WB Mason vs. Amazon).
    • Speed of Resolution: it sometimes takes a few months to come to a resolution when it comes to analysis/reporting. As they do not have great reporting around savings, we often ask for them to provide some periodic analysis. The account manager will put in the request, but it may not get completed or be up to the appropriate standard due to lack of understanding of the requirements.
    • Cancelled Orders: at some points early on (2+ years ago), many of the orders were cancelled and we were left scrambling to replace them. That has gotten much better.

    • The PO exceptions are a feature that my team isn't able to use currently because it isn't pulling back all the necessary information. Our team hasn't submitted a formal request to update to add this information as of yet.
    • Our organization has multiple manufacturing locations that purchase from suppliers that have store locations adjacent to the plants. At this time, SourceDay isn't able to distinguish which location the PO is going to. It is in their build plan and hopefully we will see the role out in 2021.

    We will continue using product and continue renewing as it is widely used product and it has been well adapted by users in our organization. The product is expensive but we will use it. Hopefully the product bugs will be fixed in future and they will provide more HA architecture feather for Basware.

    The GUI and workflows are easy to understand. It makes sense where the "buttons" and menus are located. Design is overall getting improvements constantly as well, so there is updates coming all the time. System is quick, few bugs and errors that cause issues. Up time and accessibility is on a very good level.

    Basware was not my selection as I was not with the company at the time. It was easy to learn and we have maintained a good working relationship with Basware. It is a very good way to process the workflow of invoices from start to finish
