    It is ideal where security is your number one concern or where there is a need to share securely across different physical locations. Speed is less than ideal in certain usage scenarios. It is limited by the speed of the internet and it can be difficult to pull large quantities of documents when researching or answering discovery requests, although, that being said, it can be addressed by maintaining your own secure server to contain a mirror of your online documents. But then the security for a mirror falls back on the organization.

    Prevail software is well-suited for tracking all interactions in each client's case. It keeps all information easily at hand. The version we use is cloud-based, so the information can be accessed from anywhere an internet connection is available. The area, where we would really like to see improvement, is if it would work directly with Gmail, as it already does with Outlook.

    • Searching: NetDocuments' searching capabilities put it on par with other legal search engines used for research and knowledge management purposes.
    • Scalability: Despite the ever-increasing number of items stored in the repository, time searching is unaffected.
    • Innovation: NetDocuments continuously looks for new solutions and updates their product regularly.
    • Ease of Update: Because it is Web-based, updates to the software do not require local installation.

    • Document merging, so numerous communications templates (letters and emails) can be merged with the appropriate names and addresses for a particular case and the items are ready to send within seconds.
    • Prevail tracks a history of interactions on a case, so you can find a record of every letter, email, phone call, notice, hearing, etc. on one page.
    • Prevail tracks all billing on a client's case, including billing from the firm, from care providers, other service providers, etc.

    • Delay. At times, there is a delay between saving a document into Netdocuments and actually seeing them in the appropriate workspace. Such a delay is caused by the system indexing the newly added file.
    • Netdocuments' servers slow down at times causing users to receive error messages. This can be quickly remedied, but can become a nuisance.

    • It would be nice if Prevail worked directly with Gmail instead of just with Outlook.
    • It would be nice if it was easier to adapt reports or set up new ones.
    • It would be nice if all attachments to a client's file could be placed in that client's set of directories so the items could be easily found, even if Prevail was not running.

    The product is simple to learn and adheres to well-known web user protocols. The NetDocuments team spends a lot of time talking to customers regarding how to improve their interface, and are pretty quick about implementing good ideas. The system is reliable and repeatable, and similar functions are laid out consistently and in formats that users are used to.

    It's great, except for the lack of working directly with Gmail. As I've already mentioned, the document merge feature is excellent and saves countless hours of typing. The cloud-hosted option is liberating in that you don't have to make sure you have, in your briefcase, every document you'll need for a meeting, hearing, deposition, etc. And the statute date warning feature is also important.

    NetDocuments is a performant web app. It is reliable and provides all the functionality of a sophisticated document management system. It also can serve, through its APIs, as a base system for other applications, which enhances its value. Other vendors find the company easy to work with, and it consistently seems to be the first to offer new features and technologies to its customers.

    I've never had to contact support, but I won't give it a ten. We've had a few hiccups along the way, but nothing that couldn't be fixed within 24 hours.

    Worldox was a MUCH better product for our smaller law firm of 9 attorneys . It was very fast and MUCH less expensive.

    We've had Prevail for over 10 years. We checked into other options and, while some had certain features we were looking that Prevail did not have, we decided that overall, the features we wanted were not worth the time and stress of changing case management systems, so we decided to stick with Prevail.

    • NetDocuments has really saved us from hiring more people. The document management system is a core technology to any law firm. Our last DMS was an in-house system. It easily required the attention of half a FTE and offered a fraction of the functionality.
    • NetDocuments has also been relatively easy for our employees to use. We have a high adoption rate and it allows for our employees (and third parties) to collaborate pretty well.
    • NetDocuments offers any number of certifications -- e.g. ISO 27001, business associate agreements for HIPAA -- certifications that are required by some clients, that we could not possibly attain with an in-house system.

    • Moving to a case management system 10 years ago increased efficiency by allowing us to access our information remotely.
    • Also, the document merge feature saved countless hours of preparing communications, of various types, individually, as now the process is automatic.
    • The statute notification feature is especially helpful from a peace of mind perspective, knowing there is nothing out there that's about to bite you, procedurally.
