Use Cases and Deployment Scope

We use Bizzabo for our corporate events. It's a fantastic tool for tracking registrations, client needs, reviews, etc.

Pros

  • Registration Tracking
  • Report Downloading - extremely easy to pull
  • Time tracking - love being able to see real time registrations

Cons

  • When pulling a report, I wish it would default to your last format. Every time I go in to pull a new report, I have to reassign fields.
  • Canceling a registration - I feel that there are too many steps just to cancel a registration.

The best thing about this platform is that it's user friendly. Their support team is also the best in class.

Use Cases and Deployment Scope

We use Bizzabo for one of our clients [...]. The product addresses everything we need! In particular, we like the flexibility you have in creating custom questions, custom logic and the reporting system is very thorough. My scope of use is minimal, i'm mostly pulling reports and assisting my client on the back end as needed.

  • Design - I think overall CVENT has better design options
  • App - I'm not even sure if there's an app available on Bizzabo
  • Customer support - one of the main reasons we chose CVENT over Bizzabo for ALL of our clients is that there isn't 24/7 support available.

Likelihood to Recommend

We were going to use Bizzabo for a big airport event, but chose not to because of the lack of customer support. We needed to be able to call them at any moment if there was an issue since we were working with a government entity.

That being said, we do recommend Bizzabo to clients that can't afford CVENT and all of the bells and whistles. Because it does have almost the same functionality, just less support.

Within our organization, we use Bizzabo for our New Customer Trial Programs as well as our annual conferences, which have adopted a hybrid format ever since the Pandemic. With Bizzabo, we are able to run in-person and virtual events, delivering a memorable experience where every attendee can engage and take away key learnings.

Pros

  • Virtual Streaming - The virtual setting for our hybrid events is great! Virtual attendees can comment, ask questions, and create an online community. Recordings of sessions are ready quickly as well.
  • Registration Setup - The customization options for registration works extremely well for our organization! During our annual conferences, we expect a diverse group of attendees such as clients, our franchisees, and Enterprise Sales VPs. With Bizzabo, we're able to customize registration options making that part of the process seamless.
  • Agenda Customization - With our events, we offer not only main sessions, but also different tracks based on role/business goals. Bizzabo allows us to build agendas that make sense for our audience and help us internally analyze what sessions are getting the most traction.
  • Bizzabo Mobile App - The mobile app is outstanding! It eliminates our need to print thousands of copies of our event agenda and gives attendees access to updates in real-time. We also use it to communicate promotions, announcements, and reminders, making communication with attendees super efficient.

Cons

  • Onsite Equipment - When we are in-person for our events each year, we always encounter issues with our onsite equipment (WiFi routers, printers, and iPads). At least one piece of the equipment has always been broken and it makes our jobs super difficult - Either making it so we can't use that piece altogether or forcing us to consolidate equipment down for a large volume of check-ins.
  • Equipment Support - When we've been onsite and encountered issues with the Bizzabo equipment, it is nearly impossible to get any support or help. We have tried multiple chats, support phone numbers, and ticket submissions, but none have ever resulted in a good experience or solving for the issues.
  • Registrations Under One Name - In our business, we frequently have cases where one person registers for a group of attendees. However, when they arrive onsite at check-in - The group members cannot find their names - They are all listed under the one person's name who completed registration. There has to be a better way to fix this part of the process!

Likelihood to Recommend

Bizzabo is really well suited for large-scale hybrid events. In this day and age, it's imperative to have a software that can successfully accommodate virtual and in-person attendees. Bizzabo blends these experiences extremely well. It is also great when event agendas are complex and need customizations - Bizzabo offers flexibility and has options for tracking session attendance. Bizzabo does not work well for smaller events with in-person only registrations. The risk of the equipment not working is high and, for smaller events, not worth the stress!

It's basically a CRM for events. It serves many functions for us. We use it for ticket sales, to add all our agenda session details and speaker info, promo codes, registration for each session, sponsor details, and more. It's a great all-in-one stop shop for event management.

Pros

  • Speed.
  • Customer Support.

Cons

  • Separate agenda and speaker sections that don't communicate.

Likelihood to Recommend

All platforms have their setbacks, but one of the better options for event management in terms of the capabilities it offers. It processes things (mostly referring to searching for registration, speaker, session, etc.) super fast, which is a great feature and super helpful because our events are so large.

We here at [...] University use Bizzabo for all of our major events, including our annual commencement ceremonies. We love that we are able to live stream, sell tickets, present a website and collect information all in one location.

Pros

  • It's very user friendly on the front end as well as the back end.
  • We love the live-streaming feature
  • Collecting relevant data from attendees

Cons

  • Letting users know of critical updates, ie, turning on the location for live-streaming to work
  • Data output, we would love to see some of these data points go into more detail. Love the view location map but want to see that in a more detailed spreadsheet.
  • different/more custom ticket layouts

Likelihood to Recommend

We have used several systems here at the University and out of all of them this one is the best by far! We have everything in one location. My only complaint really is that it would be nice to not have to have a full webpage for a very simple event. Something basic with just a header photo and the event details would be nice. I know that this can be made on the site, it just seems a little too intricate for a basic event.

Our organization uses Bizzabo (and Klik) as our main event content management platform and registration system for our large 10,000 attendee event.

We use most of the features, including speaker profiles, sponsor profiles, session management, registration, promo codes, etc. It has been really helpful for almost all of our event related data to live in one place.

This will be our second year using Bizzabo, as well.

Pros

  • Agenda building and session management
  • Registration and promo codes
  • Customer service

Cons

  • We'd love to see the ability to have conditional logic for registration
  • We'd love to see the ability to accept payment before completing all registration questions
  • There are a few bugs in the speaker portal that I know the team is actively working on

Likelihood to Recommend

I have only used Bizzabo for large events. The price point is reasonable but for smaller events it may not make sense. I would recommend it for events that have complex registration needs, or a complex schedule.

It also allows us to create and host an event website that we then use to promote via our social channels and email communications. This helps us track registrations and allows for more registrants.

Bizzabo is a great platform for event registration. The backend is easy to use, and you can track all information well. You can also integrate many platforms like Hubspot, which allows you to keep your company's preferred format and all communications unison.

We use Bizzabo for all of our external events. When creating an event website, we leverage their embed scripts on our own Website. The items we most often use are the partners, speakers, agenda, and sign-up form. Our organization has used Bizzabo for over seven years now. During that time, we have considered switching to other providers. Switching usually costs us more for similar functionality, so we are still on Bizzabo.

Likelihood to Recommend

Smaller in-person events are well suited for Bizzabo. I don't have events with over 5k people, so I wouldn't know how it does beyond that point. Everything goes fine as long as you have people familiar with the processes and can manage the event setup. They also offer to send a Bizzabo expert to your event for a fee. It may be worth it for significant events.

We used Bizzabo for hosting event registrations as well as webinar registrations - mostly for single session webinars and things like happy hours or dinners - as well as all of the email engagement features minus sending event/webinar invites. We run 40-50 webinars a year and about the same amount of events. We need a tool that can build out events and webinars efficiently, share data amongst a large team, and provide data that helps us to make better decisions in the future.

Pros

  • Bizzabo has a good reporting dashboard that made things simple
  • Bizzabo makes it easy to share access within our teams
  • Bizzabo has a relatively clean UI

Cons

  • I feel that customer relations were not particularly great. Slow response times and not very helpful when we did get in contact.
  • Although UI is clean, functionality was a bit clunky.
  • Limitations within asset creation were frustrating and time-consuming when building out events.

Likelihood to Recommend

My biggest frustration with Bizzabo is how time-intensive it is to set up events and add all necessary details. There is not an easy way to my knowledge to use dynamic data to fill in landing pages, registration, emails, etc. and as a result creating events is time-consuming and very monotonous in my experience.

We use Bizzabo for our event registrations, but this website isn't customizable to our business needs. The detailed information we do need isn't available and there's a bunch of steps added into the platform that we don't need. For example, for a simple check-in, I'm forced to create badges even though I have selected no badge printing. There's no room to work around settings and it's gotten worse with the new update.

  • Example photos of where information will be displayed
  • Save profile information in relation to the email address - I've had to fix the same participants throughout different events
  • Build in our account needs in settings for our specific account.
  • Simplify the process to swap tickets and make the option easier to find

Likelihood to Recommend

In my opinion, the set-up is so overcomplicated and many options are hidden unless you're going down and clicking one-by-one on the tool menu. For our organization, we need a tighter process that requires similar formatting and tools. There's multiple areas where I can enter notes for the registering participant but it's unclear where those notes are going to be displayed.
