Bookafy Use Cases

Bookafy functions as an appointment scheduling app for nonprofit and volunteer organizations. It also provides support for a variety of industries. Bookafy is a well-known scheduling software for businesses in Financial Services. The software automates the booking process for account reviews by sending customers links to schedule a time that works best for them. Businesses can embed a booking button in emails to help customers schedule appointments without time-consuming discussions. Booking settings ensure that employees are accepting the right types of appointments that fit into their schedules. Financial Services employees can also book appointments from sales, marketing and support channels.

Healthcare providers use Bookafy as medical scheduling software that enables patients to book their own appointments, even outside of traditional office hours. According to the vendor, approximately 70% of online appointments are made between the hours of 8 PM and 3 AM in the healthcare industry. Bookafy ensures that medical practices never lose business and maintains compliance with HIPAA privacy laws, protecting patient information.

As a meeting/appointment booking tool, Bookafy excels; it substantially simplifies the process of locating a time slot that meets both the client's and the host's needs. Bookafy's customer service has also been outstanding; they have tailored the platform to meet our specific needs at a fair rate. Our use case is unique, and Bookafy did not perfectly meet it, but they came to the table willing to make improvements that other suppliers would not. Support for having personnel in multiple time zones is still a missing functionality that we are working on.
  • Booking or scheduling appointments.
  • See calendar in one page.
  • Notify meetings in advance.
  • Lack of calendar customization.
  • Tracking data.
  • Configuration is confusing.
The outcome is an extremely user-friendly interface and functionality for our prospects, clients, and suppliers. Since we began using Bookafy, our conversion rate of prospects requesting a no-obligation call with us has significantly improved, saving us time in handling appointment requests and attempting to locate a slot that works for both the prospect and us. An app that will change your life!
  • Book meetings.
  • Email notice.
  • Text reminders.
  • On time meetings.
  • Some configuration was somewhat confusing.
  • Allow me to send people my personalized link.

I use Bookafy for my freelance business. It's way more robust than using Gmail or other platforms. It's easy to schedule appointments, see money made from appointments, send text reminders, and have someone book an invite on your calendar. The syncing capabilities are excellent. I enjoy scheduling my calls this way and everyone get notified.
  • Appointment reminders.
  • Scheduling.
  • Agenda and Calendar views for organization.
  • Integrations.
  • More customizable email templates.
  • More robust review capabilities.
Bookafy is great for a small business that needs to book in-person calls or even virtual calls. This software is more robust than others out there.
  • Email reminders.
  • Scheduling capabilities.
  • Syncing and integrations.
  • Bookafy keeps track of money made from appointments.
Bookafy is more advanced and has more features that I need comparing to these other brands. Calendly is very basic while Bookfy offers more robust features.

I use Bookafy to manage appointment setup with current and future clients. A lot of time can be wasted trading emails, texts, and checking calendars to set up a meeting. Bookafy helps save time by allowing the client to pick a convenient time for them at any point during their day without having to wait for our answer. Bookafy also helps me control when I can meet with clients and when I focus on work by limiting availability. Since it allows me to synchronize with multiple calendars at once, I don't have to worry about overlapping with personal meetings or medical appointments. Bookafy also lets me assign meetings to a specific user, which allows me to delegate better.
  • Calendar synchronization
  • Payment collection
  • Booking page is intuitive
  • Covers core scheduling needs of a business
  • Embedding specific meetings on a website is not clearly visible and limited in customization options. Someone with HTML knowledge could handle it all but most business owners don't have that knowledge. Also, when it embeds, it's not as responsive and it seems very crowded
  • It doesn't have the ability to have private meetings accessible to customers. This means that I can't have a hidden meeting scheduler that I sent only to my VIP clients as a special bonus. I have to make the meeting public for it to allow someone to book. All competitors of Bookafy have this feature
  • Personally, I don't understand why the meeting types and setup are inside the "Account Settings" area. To me, the creation of meetings and their setup should be a front and center menu
  • I find the user interface outdated and clunky. Feels like a collection of embedded tables rather than sections and rows. Somehow the look affects how intuitive I perceive the back-office of the platform. It reminds me of 1990s website designs... Not visually appealing and crowded screens
In my experience, Bookafy has pretty much the same features as the other well-known scheduling apps. In terms of functionality, the two obstacles I experience were setting up a hidden (not shown on the main booking page) meeting for special bonus calls you don't want anyone to have access to. Yes, you can set up a paid meeting and give someone a coupon to access it free but that seems like an extra unnecessary step. The other limitation was how ugly it looks to embed meetings on a website. The scheduler looks fine inside Bookafy, but when embedded, it doesn't flow as well. For everything else, it works well. If you want to sync the scheduler with email marketing systems, most of the integrations work through Zapier so that can be an additional cost. Bookafy focuses on the meeting schedules.
  • Calendar sync
  • Zoom integration
  • Straight forward booking process
  • I ended up trying Bookafy thanks to a lifetime deal so the savings on subscription payments is great
  • It has saved me countless hours of back and forth trying to setup a meeting with someone
  • Automatic time blocking on my calendar and spacing of meetings have saved me from tardiness and not having time to eat.
The main decision for Bookafy was influenced by the lifetime deal and Zoom integration. Bookafy doesn't embed as well as Calendly. It also doesn't have the ability to set up hidden meetings. MeetFox is all through a browser which is convenient for that not tech savvy but it lacked security features. Calendly feels more intuitive and easier to set up. I didn't want to keep paying monthly.

I used Bookafy as my booking system for meetings while I was working in Sales for a construction technology company. Using Bookafy was really helpful in streamlining the booking process and allowing customers to have access to my calendar and instantly book. It really helps to eliminate any need for email threads, missed calls, and unnecessary phone tag.
  • Help to streamline the booking proccess
  • Allows customers to have access to my calendar and book a meeting instantly
  • Eliminates email threads and unnecessary phone calls
  • It can be difficult with the back and forth of rescheduling meetings
  • You have to remember to manually block off time on your calendar
  • The calendar tab can be confusing at times
Using Bookafy is great for Sales teams as it helps to streamline the meeting booking process and gives customers access to your calendar so that they can book instantly without having to have long email threads and unnecessary phone tags. It's really helpful for Sales teams, however, I find that it would be helpful for any team that uses a calendar and books meetings.
  • Streamlining the meeting booking process
  • Giving clients access to the calendar
  • Saves a lot of time
  • Streamlines the process
  • Eliminates unnecessary back and forth calling and emailing
I have used both Bookafy and Calendly and they both honestly helped to streamline the booking process and save us a lot of time. That being said Bookafy is great because it automates scheduling, and reminders and integrates with other software. It also allows customers to book, reschedule and cancel meetings automatically. In regards to customer service, it's nice that Bookafy allows you to actually call someone where Calendly does not.

We use Bookafy to give clients and potential clients the option to schedule a meeting. Also, we use Bookafy in one of our landing pages, so the leads can easily book appointments for marketing consultations. Also, we use Bookafy in our funnels to lead the leads to schedule appointments.
  • Easy to embed the appointment form to websites
  • You can show off professionalism while booking meetings
  • You can sync the appointments with Google Calendar
  • Easy to use interface, so you don't waste time trying to figure out things around.
  • Load speed for the embedded form in websites could be a little quicker
  • Improve the email notification editing capabilities
Bookafy works great to send potential clients your available times for meetings. They can schedule the meetings in less than 1 minute. They get an email notification confirming the appointment and later on, a text message with reminders, just before the event.
  • We improved the scheduling process in our company
  • We look more professional (first impression)
  • We are spending more time prospecting new clients than figuring out with who and where is the next meeting
I used Calendly before and I like the Bookafy UI better... Also, we like the price structure more for what we get with Bookafy.
