Use Cases and Deployment Scope

We use Buildium to receive rent payments, house ledgers, organize our tasks, communicate with Tenants and homeowners and provide portals for all Clients. We have also started using it as our bookkeeping tool. It easily generates late fees, commissions etc. and provides simplicity in communications with their Announcements feature and file sharing features.

Pros

  • Phone support for any questions we have or troubleshooting needed.
  • Listening to it's Clients and building out for requested enhancements.
  • Robust reporting.

Cons

  • Enhanced Tenant Screening does not capture criminal history which is alarming.
  • Bookkeeping capabilities are touted but not exactly functional. P&L statements cannot be generated without workarounds.
  • Reports aren't able to be customized to my desired level.
  • Rental ledgers are difficult to work with at times.

Likelihood to Recommend

I'm very happy with the service provided via phone, to me that is the absolute largest draw. I also really appreciate the integrations Buildium offers. I mostly appreciate HappyCo, Petscreening, and Hunter Warfield. None of these are seamless in their communication with Buildium but it's still a vast improvement from having to have separate accounts from Buildium so overall, it is beneficial to our company.

I use Buildium for the accounting of HOA's. We have almost 5,000 units under management. Buildium makes it easy to use; however, they have room for improvement. In the past, they seemed to focus on rentals, but have been working on the HOA management side of things lately.

Cons

  • Show vendor address when entering invoices
  • Allow for multiple addresses for vendor payments
  • Allow for easy transfer of misapplied payments within the same bank account
  • Allow you to choose a date for voided items (original entry or current date)

Likelihood to Recommend

Buildium allows owners to login into their portals and control their payment information and settings.

Buildium should focus on functionality versus having a million add ons with other vendors in their market place.

Buildium is great for small properties

I use Buildium to manage the day-to-day details of a small property management company. I pay bills, record resident transactions and work orders, and track expenses and project planning. We manage 76 units total, and for a property of this size, Buildium is both easy to use and affordable.

  • Work order flow is not intuitive
  • Website is sometimes troublesome
  • Customer service leaves A LOT to be desired

Likelihood to Recommend

For larger communities, Buildium doesn’t have the accounting capabilities you need. Anything up to 100 units is easily managed and works well.

We use Buildium for our Property Management Software. All leasing, tenant, and owner relations as well as financials are run through Buildium. We process applications, create leases, move tenants in, accept rent payments, payout owners, and handle all maintenance requests and work orders in the system. We utilize the integrations with Lead Simple, Tenant Turner, and Happy.co to keep everything together.

Pros

  • We use the task flow to ensure good communication with tenants and owners.
  • The accounting matches our standards for certifications.
  • Tenant portal allows them to set up auto pay and sends payment reminders.

Cons

  • Hello Sign has been a really rough transition and is not as user friendly as Adobe Sign.
  • Customer service struggles to understand what is going on and you have to hang up and call to get someone else.
  • Owner portal is lacking in my opinion.

We have really appreciated the recent integrations and steps to make the system easier to use. We utilize the task flow internally to track items needed as well as with our owners and tenants. It allows us to easily track the number of requests as well as the work history.

We were an early adopter of Buildium back in 2007 when cloud-based property management was still in its infancy. Being a midsize property management company in San Diego having a cloud-based management solution that handles all of our accounting billing rent collection maintenance and other aspects of ongoing management is crucial so that all employees have remote access both at work at home and in the field.

Pros

  • The leasing cycle, including marketing document preparation and signing, rent collection, and all other Lease cycle accounting.
  • The maintenance cycle, including billing, invoicing, and tenant owner and Vendor communications.

Cons

  • Buildium has done a great job over the last decade of developing software to keep pace with industry standards.
  • Buildium has room for improvement with the use of artificial intelligence to make repetitive processes more automated.

Likelihood to Recommend

Buildium helps with all aspects of property management and we fully utilize all of their services such as credit and background checks, leasing, accounting, automated billing, and even their remote check printing. We do residential and commercial management. I am not sure how Buildium would fit in with other types of management such as student housing.

I am a property manager in our HOA division. Buildium is a valuable tool we use to efficiently and effectively manage all of our properties, from financial reports and management to maintenance issues as well as tracking violations. Buildium enables us to keep all documents we need for each community in one place for easy reference or for sharing with owners and board members.

  • Financial Reports.
  • Communication with residents and homeowners.
  • Tracking income and expenses.
  • tracking maintenance items and projects.

Cons

  • I cannot think of areas for improvement at this time. Buildium customer service is very responsive to suggestions and has made improvements accordingly.

Likelihood to Recommend

Communication with owners is improving, especially by using the announcement feature or email feature. The reports feature is also very user friendly to create reports for management, the boards and also for individual homeowners as needed. I also use the violations feature and can create violation notices complete with photos while onsite. The mobile app (at least for IOS) is limited, but it allows you to select "full site" which opens up in a browser so that you can have access to all info and features.

Used to manage rental property payments. Love that it means people don't pay by check any longer and can pay immediately on the day of. Auto notices help manage the system, and confirmations help everyone stay organized.

Pros

  • It's easy to read and navigate.
  • It's easy to learn and train others on, including tenants.
  • Communication options are better than other options, or not having this platform.
  • Updates are frequent, always valuable, and make it even easier to use.

Cons

  • Back button and other navigation sometimes "sticks."
  • Prints too many pages sometimes - haven't figured out why.
  • Can be cost prohibitive for smaller companies.

Likelihood to Recommend

Does nearly everything a building and property management company could use. In fact, I don't think we are using all the features as well as we could. Eliminates many challenges, including paperwork, reminders, and processing actual checks as a form of payment ( most valuable to me). If you are with a smaller organization, it's probably too robust and costly.

I use Buildium to manage a hundred units in 2 different states. Bulidum is used to track all financials, along with lease terms, tenants and vendors. These 100 units are split between the ownership of 5 LLCs and 8 different bank accounts. Buildium is user-friendly for basic management uses, however, this software is inefficient and difficult when attempting to communicate between the various companies. Specifically, a note between LLC A and LLC B will only register on one LLC ledger, and therefore must have 2 accts. to show the debit and credit for each company. Also, the Bills feature when paid with the Check feature, locks any information regarding the Bill, and cannot be undone, unless the transaction is un-reconciled. Also, you have to un-reconcile all months up to the desired date, meaning if you want to fix a date from May, and it is August, you have to un-reconcile July & June to get to May. It is really not as fun as it sounds. The software also poses problems with credit/deposit transfers. Crediting a tenants deposit to a different unit, will not be transferred into the security deposit liability acct. of that new unit. Overall, Builidum lacks on the financial side but is good for very basic transactions.

  • It is visually pleasing.
  • I am able to see the rent roll and tenants easily.
  • Warnings for leases about to expire are convenient.
  • The custom date range is very helpful.

Cons

  • Reconciliation adjustment, please enact a password setting. Having to un-reconcile 4 months to get to the desired date is ridiculous.
  • Fix the notes & loans to have communication between separate companies.
  • Allow for duplicate vendors to merge.
  • Give a re-send option for tenant portal use/creation.
  • Allow to search by Invoice # (reference #)
  • Fix the credit system, allow the transfer of deposits from one unit to be moved to another.
  • When ending a lease, show the ledger adjustments as you add charges/refund deposits etc.
  • Option to see duplicate transactions!!

Likelihood to Recommend

A single company, with a few units (under 50) would work well with Buildium. Everyone else, no.

I work for a residential property management company. We have been using Buildium for about the past 5 years, company-wide. Buildium allows us to communicate with other departments of the office, as well as our tenants and home owners. In our company communication is a key component in our success, as there are many different parties involved in the company, from employees, management, and clients. Buildium allows us to all stay updated, informed and in touch.

Pros

  • It documents the date and time of all updates and communications, which are essential to the companys records.
  • It allows external clients to communicate and stay in touch with our company, as well as access information.
  • It serves as a large database for all of our customer and client information that is very user-friendly.

Cons

  • The emailing feature is difficult to use.
  • We are not able to update buildium directly of our communications, so we must manually input our email communications.
  • We are not able to upload files larger than 12 MB.

Likelihood to Recommend

Buildium is well suited for maintaining payment records for all clients, and vendors. Buildium is not well suited in my opinion for documenting email communications because we have to manually copy and paste our sent emails in order to have them updated and recorded in the system.

Pros

  • Automatic copying of emails to a certain task.
