Use Cases and Deployment Scope

We are using cost transparency and have started to implement IT Planning. We are looking to provide a greater level of transparency for the business on our IT costs and to gain greater control over our budgeting and forecasting.

Pros

  • Bringing multiple datasets together
  • Bespoke and out of the box reporting
  • Data integrations to finance and hr tooling

Cons

  • The UI is dated and would benefit from an upgrade
  • The UI across Apptio products should be the same
  • Integration of common language AI

ApptioOne Saves Us Time, Effort and Energy

Use Cases and Deployment Scope

We use ApptioOne primarily for IT budgeting and forecasting. We use it for both departmental operating expenses and project financial reviews with IT leadership. We are working towards portfolio reporting and service-based costing. It is essential to walk forward our labor expenses and staff each month, so our annual budgeting process is so much easier. It is easily configurable, and we are able to demonstrate views of expense by several categories, many of which are internally tracked and critical for our IT leaders.

  • Incorporates changes and adjusts reporting quickly and seamlessly
  • Allows for organization-specific metrics to track as well as industry standard ones
  • Trends and graphics to incorporate into our internal presentations

Cons

  • Fixed Asset data input needs to allow for more details (i.e., quantities by line item, not by total amount)
  • I'd like to access more of our plans. We have to archive or purge prior monthly plans in order to keep the system running faster for our users

  • The CFO of our organization trusts the budget as he's able to see the details. Before ApptioOne, we got arbitrary cuts to the budget. We don't have that problem anymore.
  • We are able to repurpose staff from one department to another because we have a better handle on our vacancies against budget.
  • We have taken on the IT budgets of 6 newly acquired locations because they know that we have the tools to adapt and can take on this work without issue.
  • We have more than doubled the IT budget from $140M to $336M in the time we've had the product.
  • We were able to forecast a multi-year, multi-location, $225 million project effectively in PFP and ended up significantly under budget when it was finished, and thus avoided having to go back to the Board to approve more funds for the project.
  • If an item isn't budgeted and needs funding, we are able to work with IT leaders to review their departments and barter on what can go away in order to fund the new request. It's led us to be under budget for the last several years for all of IT.

IBM Apptio is our IT expense management system. We use it across all departments for cost management, inventory, accounts payable and receivable, and general accounting. It's a flexible system that adapts to your needs to accurately track costs.

  • The system is flexible and adapts to your business needs to adjust costs correctly.
  • It supports frequent updates that add new integrations, features, and tools to further enhance your marketing and much more.
  • All the right tools to keep your data and accounting up to date.

Cons

  • It does not have historical balance sheets

  • It's a good financial accounting system; I think it was perfectly designed for multi-user LAN environments.
  • More integrations with financial applications.

We use IBM Apptio to recharge monthly invoices by user to Business Inits. We also do our yearly MTP and quarterly LE budgets. We feed this info back to EIT SLT and BUs.

Pros

  • Easy to upload data as required
  • Easy to create formulas to get the data in the right format for recharge
  • Easily creates budgets and rolling forecasts

Cons

  • Can be slow when showing live demos
