Use Cases and Deployment Scope

I work for a non-profit home builder, I am the permitting manager. I create new projects, request Truss bids, upload drawings and documents and update all projects with permitting information. I find that there isn't a specified location for permitting/utility info. Currently we are using notes. This is not a productive way of providing this information to our team.

Procore is good for procurement and document storage, bidding and contracts, notification for subcontractors, document storage and drawing storage. But really lacks the ability to track permits, utilities and site-specific information. There is no specific place to be able to put permitting and utility information and in construction this is a requirement.
This should have not been left out by your developers.

Use Cases and Deployment Scope

I mostly use it at the Owner level being the administrator of the project, helps with all the end-to-end documentation of it, daily log help a lot as well for the record of important things like weather, site visits from the client or even quality audits, tools like observations and inspections help to track these finding and continue the follow up accordingly

Meetings assignees responsibles integration at Home page (myopenitems), several points between meetings are stacking up in my Home
Financial tools are sometimes confusing, im using Procore in Mexico's projects and it's kinda confusing sometime where to drop POs, Contract Amounts, Change order, Change events
Set inspections as different profiles like, leasing contract, owner, GC, etc

In overall Procore can easliy integrate all your project, sometimes people resists the use of it but at the very end it is more valuable than any other platform, early start of Close out documentation, folders structure and site visits evidence can help a lot at the very end negotiations between parties

Use Cases and Deployment Scope

We use Procore as both a subcontractor and a GC. In using the software for both situations it proves to be extremely helpful in keeping the job organized and all in one place at the same time for everyone to use/share. The software keeps the project moving on schedule as well with real time updates and notifications to the project team members and helps hold everyone accountable for their work. Procore is very user-friendly on desktop, iPad, and iPhone. Not only is it beloved in the office, field employees love it as well to always have the plans/specs/submittals on them and answer questions before they become a delay.

In the field when questions arise about a plan detail/spec. Real-time RFI's and using photos to assist in getting a question answered. In the office when bidding a project and having plans/specs all in one location. Meeting management and minutes for OAC meetings and Subcontractor meeting to use for the life of the job and beyond when issues/questions arise.

We use Procore for all aspects of Project Management; including drawings review, RFIs, submittals, prime contracts, subcontracts, all change orders, invoicing, financials, and are connected to ERP. Procore solves the issue of missing access to all of these items in the field and removes the constant concern of "is this the latest and greatest"

Pros

RFI management is extremely easy in Procore.
Issuing contracts and change orders to Owners and Subcontractors is very easy
Procore allows us to create our own configurations of specific processes, meaning we can make it work for what our company needs

Cons

The scheduling tool is not great, but I know Procore is working on this one a ton
I'd like the ability to configure an internal company-level landing page better
the change order process can get confusing and is sometimes hard to get right
I wish more items were connected in the ERP Integration with Sage Intacct

Likelihood to Recommend

The advantages you get from Procore far outweigh any disadvantages. Having immediate access in the field to drawings, submittals, and RFIs alone is a hgue improvement for both the field and office teams. Once you switch, you will quickly forget how you functioned without Procore.

We use Procore to manage all aspects of the construction process on the projects we manage. It helps keep everyone involved in these projects on the same page, using the same data, in an easy to use interface.

Pros

Single pane of glass for data.
Integrates with many 3rd party systems.
Easy user setup
Works in the cloud and on many mobile devices.

Cons

The ability to add custom fields to the user diretory
Reporting across tools in Procore could be improved

Likelihood to Recommend

Any size GC would be well equipped to use Procore. Smaller subcontractors may not benefit as much if they are already invited to larger GC's Procore instance and thus not have need of their own.

Procore is used in our Energy Serivces Preconstruction business. It allows for proper front end planning. We use it for site audit documentation, bid management and bid leveling. It has dramatically improved our day-to-day efficiency for our project developers, energy engineers and estimators. It is our single source of truth.

I am the main project manager for a high end interior and exterior millwork fabricator. We specialize in anything woodworking and serve high end clients in Palm Beach and Jupiter Florida. I use Procore to organize everything. I use it to manage submittals, drawings, RFI's, and approvals during the drawing process. Procore helps me keep all parties involved and accountable to staying on track for timing and for all schedules. I use Procore everyday and it helps me not have things fall through the cracks as much as they normally would without Procore.

Maintaining open communication between parties on the project
Organize all of the information for the project- details and specs
Clearly keep the details accurate and up to date

Cons

the mark up function could be better and more accurate
when there are changes- it should be very obvious- big RED letters or something standing out from the rest of the information
somehow add actual pictures with dimensions that you can use to reference and show specific rooms

Procore has allowed me to stay on top of mostly all things going on in the job. It helps me with to do tasks or showing me what is in the red and needs action. I use Procore daily along with Innergy on the internal side of our company. Between the 2 there is a lot of back and forth. If they could somehow be integrated together. That would be truly helpful.

Procore Pay has proven highly effective for managing conditional and unconditional waivers, ACH payments, and tracking contract commitments. Your team has successfully implemented it for new projects, streamlining payment workflows and improving transparency. This has helped us keep better records for payments and tracking of lien waivers. This alone i would recommend Procore. This help us manage more work at a high standard

I am an architect working on multiple projects under construction with a construction budget of $10M - $50M. Procore is a powerful document management tool that streamlines distribution and tracking of documents such as submittals, RFIs, and Meeting Minutes. It works best when all stakeholders are involved, which sadly is not always the case, so I still have to track things separately. The product is improving all the time, but I really do not like the graphic interface for meeting minutes which are difficult to read and navigation between issues covered in the meeting is difficult and suffers from lost information if each issue is not saved every time you switch issues.

Meeting Minutes live auto save would solve the problem with notes not being saved.

It is best when instituted at the Enterprise Level and used by everyone on all projects. Unfortunately, project owners will typically not adopt it for their enterprise due to high cost.
