What is Vertex?

Vertex provides software for indirect tax determination, e-invoicing, reporting, and filing, along with exemption certificate management. Its Vertex Cloud platform and Vertex O Series tax engine connect to enterprise systems and apply one set of tax decisions to transactions, so the figures on an invoice, a return, and an audit response agree. Vertex, Inc. has focused on indirect tax and compliance since 1978.

User-Friendly Products That Deliver Value

Use Cases and Deployment Scope

We use for AR & AP transactions which include PO transactions. US Sales & Use tax calculations and CAD sales tax calculations.

Pros

  • Customer Service
  • Consulting Team
  • Partner with you to understand your companies need regardless of your size.
  • Vertex removed the annual consulting agreement as an option which is a disappointment however I was fortunate that I connected with the head of the customer service department that listened and approved my contract for me. This went FAR and really appreciated the customer service to obtain the flexibility I required.

Cons

  • Make sure updates are fully vetted before releasing. I am noticing issues I spent hours fixing previously to be undone during a new release. Then a new release is completed to fix it. This appears to be more so with the Plus Tools that this is occurring.
  • Aggressive with their collections, the 1st day a bill is due sending numerous emails looking for payment. It's usually ends of being a timing issue between banks.
  • Flexibility with their consulting contracts as not all companies are large with lots of money to spend and commit for more than a year can be a challenge. I have been fortunate that I connect with the right person at Vertex Exchange and she listened and worked with her personnel internally. It meant a lot Vertex worked with me!

Return on Investment

  • Reduce the time required to complete AR processes by leveraging the FlexRFC AR tool
  • Reduce the number of open applications by leveraging the Flux Builder tool.

Longest Vertex User

Use Cases and Deployment Scope

Vertex O-Series is currently being used for Sales Tax Compliance for our US Equipment Finance business as well as manual use tax reporting. We are currently in the process of implementing the Use Tax module in conjunction with a Workday implementation. We also use indirect returns for reporting US and Canadian Sales tax.

Pros

  • In 44 years of using Vertex I have not been assessed for a rate error.
  • Monthly updates are released on a timely basis.
  • Any errors in updates are corrected quickly with a description of the error.

Cons

  • Expand Address cleansing to include USPS mailing address
  • Add Additional Flex Fields for O-Series for Leasing.
  • Hold more regional User group meetings.

Return on Investment

  • Implementation of Vertex Indirect Returns on Demand helped to absorb the loss of an employee, resulting in a 50% reduction in time required to file monthly sales tax returns.

Usability

Vertex Review by Everyday User

Use Cases and Deployment Scope

We use Vertex to support both sales and purchase transactions, US Sales Tax and US Use tax.

Pros

  • The Vertex system is user friendly- when I have questions or run into any issue the Help Desk is always there to assist- very grateful for the help!
  • The system is reliable and keeps us up to date with any changes in tax rules/tax rates so this makes our jobs easier.
  • Communication and inclusion- Vertex does a great job on this- with the user groups and the Vertex Exchange, you get to interact with Vertex employees along with other users like yourself. You learn ho other companies are handling tax situations, and get ideas on what we can incorporate into our work to help get better results.

Cons

  • When I first sign into Vertex- the date defaults to like March 2025. So each time, I have to change to the current date.
  • In using Procurement, sometimes I find it difficult to match up what we are purchasing to the correct coding or sometimes we get accruals- because of the wrong setup, some are our user errors also.... We do lots of accruals reversals.
  • Those are the only two I can think of...

Return on Investment

  • The Vertex system helps us stay in tax compliance, so we have less liability when audited.
  • In using Vertex on the procurement side- there is more visibility to what the vendors are charging the company in tax, if a purchase is being overtaxed...or undertaxed. This is still a work in progress for us with all of our users.
  • That's all I can think of...
