Use Cases and Deployment Scope

We use Webexpenses to track and manage the use of company credit cards. This replaced our tedious method of reconciling our credit card statements via excel spreadsheet. We are able to customize designations for each charge to match our current accounts. Each person within our organization who has a company credit card has a Webexpenses account.

Pros

Easily match receipts to charges.
Super user-friendly app.
Simple approval process.

Cons

It defaults to logging expenses as items that should be reimbursements to the employee, instead of defaulting to credit card expense, or allowing the end user to chose the default.

Likelihood to Recommend

Webexpenses is a wonderful tool for supervisors to be able quickly and accurately review charges.

Use Cases and Deployment Scope

Webexpenses is being used across the whole organization internationally. All departments and subsidiaries also use the product. This helps us to streamline our employee expenses claim, approval, and processing.

Pros

Multiple interface to access the system is a key advantage. We can scan the receipts on the go using the app.
The uploaded receipts could automatically prefill the claim form saving time.
One single portal to claim all types of expenses be it hotel, transport or even car mileage.

Cons

The web UI is outdated, although recently changed the graphics colours etc, it's still clunky and feels ancient.
Does not use AI to process the receipts automatically.

Likelihood to Recommend

Well suited for small and mid-size organizations. May not be suitable for large companies.

Use Cases and Deployment Scope

Webexpenses has been adopted across all departments for expense submissions from business mileage to office stationary. The company comprises a high number of remote workers and Webexpenses has proved to be extremely easy to use and very quick to submit expenses with almost no training needed for employees to understand and use the process. Most employees submit weekly due to high business miles.

Pros

Very easy to understand.
Very easy to attach receipts.
At a click you can view previous claims.

Cons

Draft expense submissions are impossible to delete.
It does not automatically sync with company expense rates such as business mileage.
Checking receipts have been attached correctly only gives you a thumb nail picture.

Likelihood to Recommend

Attaching receipts is easy with a mobile device using its camera avoiding the need to fire up the pc and scan all copies. You can add receipts from camera or gallery so could log each receipt as you go about your business if you have a busy day and don't want to carry receipts around with you.

It is being used to manage locum expenses, the app is incredibly easy to use and it has multiple functions to consider our specific car make and litre of the cars. The app also makes it easy to track web expenses which have been made reducing paper based work load.

Adding notification for when a claim has been approved.

Likelihood to Recommend

It is useful when we are required to submit expenses and also manage them. The reports section is useful at providing an overall summary of breakdown of costs. The app is also well suited for members of staff who are outside of the business where barriers to communication exist within the workplace.

It is being used across the entire business to log expenses used for travel purposes. This addresses being able to log expenses safely and securely without the need to hold a wallet full of receipts.

Pros

Holds info online without saving manual receipts.
Easy to use platform.
Automatically calculates expenses based on the postcodes you input into the system.

Cons

App is sometimes a little slow and fiddly.
Sometimes it doesn't save and you have to re input the details.
be good to connect a whole team together under the same portal.

As a business we use Webexpenses across the whole company, this allows us to have an easy and user friendly way to manager our expenses. The app is user friendly and easy to navigate, likewise the website itself is easy to use and allows us to keep updated on what stage our expense claim is at.

Pros

Quick to upload a claim.
User friendly app.
Great to track what stage your claim is at.

Cons

Adding pictures of receipts - when taking a picture it cuts off part of the image and doesn't allow you to zoom in/out or move more of the picture into the cut off.
Can be a bit confusing when adding a new expenses to a claim if you are a first time user.

Likelihood to Recommend

It is a really user friendly app and fantastic for checking up on what stage your claim is at, however adding pictures of receipts can be a bit of a problem as it tends to cut off part of the picture when it comes to uploading. It is well suited to someone making multiple claims who wants to be able to check up on and manage this on the go.

It is used to track your expenses from mileage to journeys, etc. I'd imagine it would be used in all areas of the business and in the the same away across all aspects of the business. It is straightforward for the business as everyone uses the same system making it easier to manage and make the approval process quicker.

Pros

Easy to navigate around.
Clearly laid out.
Uploading is very easy.

Cons

For my level of use, I cannot recommend any area of improvement.

Easy to use on both laptop and via the app. Via the app you can upload your expenses whilst on the move and add the photos as well saving a lot of time. I do it this way then review it all on the laptop before submitting.

We use it to improve and automate the expense claim and approval process across the entire company. We use many corporate cards and the spend is imported in to manage and process. I am a line manager so approve spend and expenses, plus claim my expenses via Webexpenses too.

Pros

Alerts on actions are good, I get an email reminding me to approve.
I think Level 3 data from car supplier is imported.
Attaching receipts is easy.

Cons

UI could use minor improvements.
Default view of receipt pop-out could be larger and accommodate the typical portrait style of receipts.

Likelihood to Recommend

Good for approvals as a manager, to manage teams spend. My team typically have corporate cards and use it to claim and process their spend.
